This is a frontline role that supports the Centre Management team and ensures the smooth operation of the centre office. Your work will directly contribute to operational excellence, strong tenant relationships, and high‐quality customer experiences across the centre.In this role, you'll play a key part in ensuring efficient administrative processes, compliance with centre requirements, and timely communication across teams and stakeholders.What you'll be doingRight from the start, you'll do great work with us. In this role, you'll:Manage reception duties including contractor sign‐ins and maintaining key registers.Maintain stakeholder contact lists and support staff travel bookings.Collect, document and track Public Liability Insurance (COC) requirements for tenants.Update and maintain information in Yardi.Arrange contractors for repairs and maintenance.Assist with monthly rent roll processing and raising ad‐hoc tenant charges.Prepare and distribute tenant memos and in emergency, crisis and risk management training and support evacuation procedures.Manage Public Liability incident records using Noggin.Raise purchase orders, process accounts payable invoices and maintain PO summaries.Conduct daily and weekly casual mall leasing compliance checks and reporting.Prepare charity licence agreements and maintain booking registers.Provide admin support to Retail, Centre & Operations Managers.Collect retailer sales figures and manage contractor contractor onboarding and compliance processes.Distribute retailer correspondence and manage daily mail and courier requests.Minute weekly staff meetings and distribute ahead of next meeting.Prepare responses to customer comments.Undertake training across Yardi, Noggin, Tradeshift, Intelligence Bank and SharePoint.Provide marketing and general admin support as required.Maintain office supplies and equipment and manage tenant utility usage charges.Your point of difference: What you'll bringAlignment to our values: Active Partnership, Genuine Insight, Inventive Spirit and Powered by Drive.Strong organisational skills and the ability to work independently without day‐to‐day direction.Excellent verbal and written communication skills for liaising with tenants, customers and contractors.A proactive approach to problem‐solving and managing frontline administrative skills with understanding of financial tasks, reporting and accrual accounting.Experience in office or centre management administration (retail experience desirable but not essential).High level of computer literacy across: Word, PowerPoint, Excel, Outlook and Microsoft TeamsBenefits that matterTogether, our efforts shape the success of our customers and communities for years to come.
