**Our Client**
Our client is a privately owned and progressive property group who owns a portfolio of Shopping Centres throughout Queensland. An Employer of Choice, values their staff, our client is passionate about creating award-winning community spaces and currently requires an Office Manager to join their dynamic and motivated team.
**The Role**
As the principal secretarial/support position in the Centre Management Office, you will play a crucial role in coordinating office activities, lease administration, and providing general support to the Centre Manager. If you have exceptional administrative skills and thrive in a dynamic environment, this position may be perfect for you
**Responsibilities**:
- Assist the Centre Manager in various tasks, ensuring all correspondence is of the highest standard.
- Prepare Offers to Lease and manage lease documentation status.
- Coordinate instructions to solicitors and handle assignment correspondence.
- Update leasing schedules and prepare traffic graphs and reports.
- Collate and send weekly reports to Head Office by the specified deadline.
- Prepare purchase orders for approval and process invoices according to company policies.
- Contribute to the preparation of monthly reports
- Maintain and improve filing procedures across the business to enhance efficiency.
- Manage casual storage agreements and maintain registers for survey plans and sales figures.
- Assist with petty cash management and ensure the Procedures Manual is up to date.
- Provide IT and retailer assistance, handle gift card sales, customer service, enquiries, and complaints.
- Act as a point of contact for incidents within the Centre and liaise with the Insurance Company accordingly.
- Supervise the running of the office, ensuring reception-based problems are eliminated.
- Manage office and board room tidiness, administration, and casual staff.
**Requirements**:
- Proven experience in an administrative or office management role.
- Excellent written and verbal communication skills with exceptional attention to detail.
- Strong organizational and multitasking abilities to manage diverse tasks effectively.
- Familiarity with lease administration and general office procedures is advantageous.
- Proficiency in using office software, including MS Office (Word, Excel, PowerPoint).
