Cadence Connect has been engaged to recruit an Office Administrator – Operations & Tender Support for a long-established, globally recognised contractor in marine/offshore infrastructure.
This opportunity is ideal for a meticulous, autonomous administrator who enjoys managing multiple workstreams and being the steady anchor of a busy but supportive project environment. You'll provide essential operational support to an experienced Area Manager and the broader Brisbane team while ensuring the office, travel/visa workflows, and tender processes run smoothly and to strict standards.
The Role
You'll take ownership of office operations, coordinate travel and visa requirements for a long-running remote project site and manage tender administration across multiple stakeholders. You'll also support an experienced Area Manager with executive tasks and assist the finance lead with basic admin.
The team is lean, collaborative, and delivery focused. It's an on-site role with a stable rhythm, good amenities, and on-site parking.
Key Responsibilities
Office Operations
* Manage facilities, suppliers, H&S housekeeping, office supplies, and meeting logistics.
Travel & Visa Coordination
* Coordinate flights, accommodation, medicals, and visa documentation with external agents.
Tender Administration
* Manage tender portals, track deadlines, compile and upload documentation, and liaise with offshore bid teams and clients.
Executive Support
* Calendar, travel, and document support for the Area Manager.
* Occasional administrative support to the finance lead.
Light Finance Administration
* Check recurring invoices (rent, mobiles, utilities) and route to AP.
* Assist with simple reporting such as QHSE data collation.
About You
You're a seasoned administrator who thrives in structured, organised environments and takes pride in accuracy and efficiency. You communicate clearly, work independently, and stay calm under shifting priorities.
Skills & Experience
* Proven experience in administration (construction/engineering/project environments advantageous).
* Detail-driven with excellent organisational skills.
* Strong written and verbal communication.
* Confident using portals, trackers, checklists, and documented processes.
* Professional, personable, and reliable.
