They are looking for a Legal Services Administrator to provide outstanding service and day to day general administration and operations support to the Directors of Legal Services. This is a 3-month temp role to work fulltime hours from 9am - 5pm, with the option of working under a hybrid working model (3 days in the office, 2 days at home). The hourly rate for this position will be $49 - 56 + super dependant on experience. The office is based in Parkville and parking is available for $12 per day.
Reporting into Executive Assistant of Legal and Risk Department, the role will require to assist with the lifecycle of legal request and matters handled by Legal Services. This may include the creation, management and retrieval of legal case files, document processing, updating relevant databases, managing the Legal Services inbox and phone line, responding to queries, and the coordination and servicing of meetings, assisting with projects and general administration work.
Some of your key responsibilities will include:
- Working alongside other members of the Administration team, proactively manage the legal matter lifecycle process including triaging requests, setting up/closing off matters, preparing matter documentation, document drafting and processing on behalf of lawyers, preparing agreements for execution
- Assist in the management of the Legal Services admin inbox and phone line to screen, respond to and manage incoming enquiries and escalation as required
- Provide proactive administrative and operational support within the Legal Services team, including stakeholder liaison, filing, meetings organisations and adhoc administration tasks
- Provide general administrative support to the Directors of Legal Services and other members of Legal Services portfolio as required
- You will also be responsible for assisting the Executive Assistant to the General Counsel and the Administration Team Manager with projects as required
To be successful in this role you will have:
- Previous experience working in an administrative support role with experience working in either a fast paced in-house legal environment or working in a law firm.
- A demonstrated ability to prioritise tasks and manage your time effectively
- The ability to exercise independent judgement as well as working effectively as part of a team
- The ability to work well under pressure and schedule work to meet deadlines along with excellent attention to detail
- Demonstrated ability to provide a high level of customer service
- Experience working in an in-house legal team or in private practice is highly desirable
