Lord Mayor And Councillor Support Officer has a key responsibility in strengthening the ability of the Lord Mayor and Councillors to fulfil their role, working closely with other staff in the delivery of induction, learning and development programs.

**Duties and Responsibilities**:
- This position is part of a small and diverse team and plays an integral in providing support to the Lord Mayor and Councillors as they fulfil their role as elected officials.
- Providing secretarial support including examining and prioritising correspondence, taking follow up action and preparing draft replies where appropriate
- Screening visitors and telephone calls and refer/follow up accordingly
- Organising Councillors' schedules and meetings
- Providing documented responses to constituents on behalf of the Lord Mayor and Councillors
- Drafting correspondence and reports
- Ensuring the Lord Mayor and Councillors are provided with all necessary stationery, printing and other equipment to effectively fulfill their roles
- Exercising discretion, sensitivity and confidentiality in a highly political environment
- Produce professionally presented documents using high level computer skills in word processing, desktop publishing, spreadsheets, PowerPoint and database development and maintenance.
- Schedule meetings, conferences, functions, appointments and travel arrangements including preparing supporting material.
- Provide the public and first contact interface for constituent and customer inquiries, meet and greet guests, and provide refreshments, where required.
- Provide a friendly and professional service to those who come in contact with the Council Support team and the Executive Office.
- Ensure administration systems operate in a timely and efficient manner, including complaints management, internal and external customer responses, record keeping and correspondence management.
**Requirements and Qualifications**:
- Demonstrated skills in executive support and administration
- Excellent interpersonal skills for dealing with enquiries relating to sensitive and confidential issues from demanding clients.
- Experience in dealing with highly sensitive and confidential matters
- Strong background in administrative and executive support roles within a government environment
- Relevant education attainment and any other qualifications relevant to executive support work
