Job Title: Office Manager
SuperPro Cleaning Services is seeking a highly organized and skilled Office Manager to oversee the day-to-day administrative operations of our office. As an integral member of our team, you will be responsible for ensuring efficient workflows, effective support for our operational team, and contributing to our growth and organisational standards.
Key Responsibilities:
* Organise, coordinate and control administrative functions and resources of the office environment.
* Allocate resources including human resources, office space, equipment and supplies.
* Assign work to staff, monitor performance and provide supervision, training and development support.
* Manage records, accounts and administrative systems.
* Liaise with internal and external stakeholders to coordinate business operations and resolve issues.
* Ensure office equipment/systems are maintained and that supplies are managed under budget constraints.
* Maintain compliance with occupational health & safety regulations, company policies and relevant legislation.
* Support personnel activities such as recruitment, onboarding, performance reviews, payroll and training administration.
* Oversee scheduling and dispatching of cleaning teams, ensuring alignment between client bookings and resource availability.
* Manage client service requests and interactions via phone/email, ensuring timely and professional responses, and liaise with operations to maintain service quality.
* Maintain inventory of cleaning supplies and office equipment, manage procurement, supplier liaising, and cost-control.
* Monitor and assist with invoicing, client billing and financial administration in coordination with the company bookkeeper/accountant.
* Produce and maintain key performance and service reports (e.g. client satisfaction, turnaround times, team utilisation) and provide input into continuous improvement initiatives.
* Work closely with leadership to support business growth, including assisting with marketing, client acquisition efforts, and operational process improvement.
Requirements
* Proven experience in an Office Manager or similar supervisory administrative role; ideally within a service-based small to medium enterprise.
* Excellent organisational, multitasking and prioritisation skills.
* Strong communication and interpersonal skills; comfortable liaising with clients, staff and suppliers.
* Competence with office software (MS Office suite), scheduling/CRM systems, and— ideally— invoicing/accounting software.
