At Geosyntec, we highly value hiring experts who are innovative and eager to grow. We have an exciting opportunity for a Project Finance Administrator to join our Sydney team. We seek a motivated administrator to manage finance administration, project lifecycle, and office management.
Essential Duties and Responsibilities
1. Support the office, project managers, and senior management across all Geosyntec offices.
2. Proposal and project setup.
3. Assist with purchase order setup and maintenance, including submitting supplier invoices.
4. Manage the monthly invoicing cycle.
5. Review client purchase orders.
6. Handle timesheet reporting.
7. Track accounts payable and receivables.
8. Reconcile purchase orders and expenses; manage supplier relations.
9. Manage inboxes for admin and personal correspondence.
10. Perform general office administration, including managing stationery, printing supplies, post, couriers, catering, kitchen supplies, and liaising with building management or real estate.
11. Coordinate site onboarding, medicals, travel requests, and document control.
Education and Licensure
1. A minimum of three years of progressive experience in project administration, preferably in a professional services firm.
2. A bachelor’s degree in accounting or finance from an accredited college is preferred; significant work experience may be considered.
Skills, Experience, and Qualifications
1. Experience in a professional services firm, preferably engineering.
2. Experience working with multidisciplinary project teams is preferred.
3. Experience in finance, accounting, or similar fields.
4. Proficiency in accounts payable and receivable.
5. Experience with project administration and invoicing is preferred.
6. Knowledge of accounting software such as JDE, Oracle, SAP, or Coupa.
7. Strong verbal and written communication skills.
8. Ability to succeed in a fast-paced consulting environment.
9. Strong organizational skills.
10. Ability to work across multiple time zones and offices.
11. Proficiency in Microsoft Office Suite (Word, Excel).
