Key Responsibilities:
· Operational Management: Oversee the day-to-day operations of the imaging clinic, ensuring smooth and efficient workflows. Coordinate patient scheduling, registration, and front desk operations to optimise throughput and minimise wait times. Ensure that imaging equipment is maintained, calibrated, and operating efficiently in partnership with technical staff and vendors.
· Staff Management: Recruit, train, supervise, and evaluate administrative and clinical support staff. Develop staff schedules to ensure adequate coverage across all shifts. Foster a positive work environment with a focus on teamwork, professionalism, and continuous improvement.
· Financial Oversight: Develop and manage the clinic's budget, including revenue tracking, expense control, and financial reporting. Monitor billing, coding, and reimbursement processes to ensure accuracy and efficiency. Identify opportunities to improve profitability through service expansion, cost control, or process improvement.
· Patient Experience & Quality Assurance: Ensure a high standard of patient care and customer service throughout the clinic. Address patient concerns or complaints promptly and professionally. Oversee compliance with infection control, safety protocols, and regulatory standards.
· Compliance & Accreditation: Ensure adherence to federal, state, and local healthcare regulations. Maintain current accreditation with relevant bodies (e.g., DIAS accreditation, MBS Scheme, ARPANSA) and coordinate audits or inspections. Implement and monitor quality improvement initiatives.
· Collaboration & Communication: Act as a liaison between radiologists, technologists, referring physicians, and administrative staff. Support marketing and business development efforts to grow referral networks and increase patient volume. Communicate effectively with leadership regarding clinic performance, challenges, and opportunities.
· Technology & Information Systems: Manage the use of radiology information systems (RIS), picture archiving and communication systems (PACS), and electronic medical records (EMR). Troubleshoot system issues and liaise with IT support as needed.
Qualifications:
· Proficiency in Microsoft Office Suite
· Excellent organisational and time-management skills
· Strong interpersonal and communication abilities
· Ability to multitask and remain calm under pressure
· Proven experience as a medical receptionist, administrator, or similar role in a healthcare setting preferred but not essential
· Certificate or diploma in healthcare administration, business administration, or a related field preferred but not essential
