We have an exciting, fixed term part-time (20 hours per week until 30 June 2026) opportunity for a Senior Administration Officer to join our team This role will see you as the first point of contact for patient care at Catherine's House.
Catherine's House is Australia's first integrated centre for perinatal mental health care, providing mental health treatment and support to new parents.
With one in five mums and up to one in ten fathers experiencing depression, anxiety, and other mental health issues before or after childbirth, this new facility will triple the number of public beds in Queensland from 4 to 12 for families in need of perinatal mental health support.
Salary range: $39.79 - $44.25 per hour plus 12% superannuation.
What you'll be doing
Key responsibilities and experience required for this role include:
* Providing confidential administrative support to the Catherine's House team during hours from 08:30 to 17:00, with availability to work between 6am – 6pm, Monday to Friday.
* Working on reception as the first point of contact, representing Mater with a strong customer focus to patients, staff, and visitors, ensuring effective communication across departments.
* Managing outpatient appointment scheduling, including referral management, patient arrivals/departures, and supporting intake, admission, inpatient, and discharge administrative duties.
* Handling all private practice administration in collaboration with the Private Practice Manager and liaising with Private Practitioners.
* Preparing patient documentation and performing administrative functions such as referral management, patient billing using Gentu software, photocopying, filing, mailing, sending SMS messages, booking transport and interpreters.
* Ensuring effective, accurate, and timely communication with staff and clients, maintaining confidentiality, sensitivity, and discretion.
* Providing accurate data entry using various information systems.
* Supporting clinicians and leaders with daily administrative tasks as required.
* Collaborating with a multidisciplinary team including Medical, Nursing, Allied Health, Administration, and Pharmacy staff.
About you
We are seeking a professional, team-oriented, experienced Senior Administrator who is adaptable, works well under pressure, and has excellent problem-solving skills.
Qualifications and skills include:
* High-level customer service, verbal, and written communication skills.
* Efficient and effective administrative support experience, with the ability to work independently and collaboratively.
* Effective communication skills with all levels of staff, patients, and visitors.
* Proficiency in Microsoft Office and in-house software systems, with accurate data entry skills.
* Experience organizing and prioritizing in busy environments.
* Ability to adapt to new systems and changing processes quickly and efficiently.
* Reliability, punctuality, flexibility, and adaptability.
* Previous experience in private practice administration.
Highly desirable:
* Understanding of medical terminology or healthcare systems.
* Experience with Gentu or Genie Practice Management software.
