Contract AO2 Legal Secretary role starting asap until mid March 2026 -there is potential for extension.
Key Responsibilities
* Accurate transcription of digital dictation, word processing, and typing.
* Diary management, scheduling meetings/conferences, and preparing agendas, minutes, and supporting materials.
* Collating and assembling briefs and ministerial correspondence.
* Preparing legal and title office documents using Affinity (legal practice management system) and precedents.
* Attending to court filing, document collection, lodging, and conducting legal/property searches online.
* Maintaining filing systems, records bring-up, and retrieval processes, including monitoring correspondence via database systems.
* Managing legal staff appointment schedules, court diaries, and incoming calls/visitors.
* Assisting with financial processes such as billing, time recording, and file management (opening, closing, archiving).
* Ensuring compliance with procedures for payment of legal expenses and counsel fees.
* Managing information systems including Affinity, Client Information Management System, and Microsoft Office programs.
* Handling mail, arranging couriers, and maintaining operational registers.
* Coordinating travel arrangements and accommodation.
* Delivering services in a timely and professional manner.
* Liaising professionally on a wide range of issues.
* Performing other duties as required to support operational needs.
About You
* Demonstrated experience providing confidential legal secretarial and/or administrative support.
* Strong understanding of legal terminology, concepts, and documentation processes.
* Proficiency in legal practice management systems (Affinity preferred) and Microsoft Office.
* Highly organised, team-oriented, and able to manage competing priorities.
* Excellent communication skills and attention to detail.
