As the **Venue Operations Manager**, you will play a key role in overseeing all aspects of event operations. Your primary focus will be to ensure the seamless daily functioning of the event, delivering an exceptional experience for both visitors and staff. You will coordinate across multiple departments, maintain high operational standards, and ensure the effective daily management of the site. This includes supporting the Site, FOH, F&B;, Box Office, and Merchandise teams while focusing on visitor experience, financial management, and adherence to safety protocols. **General Responsibilities**
**Team Leadership**:
- In concert with your key collaborators, lead, supervise, and motivate the Cleaning team, Production crew and Site Crew.
- Conduct regular team briefings, assign tasks, and address issues in real-time.
- Promote collaboration and problem-solving across departments.
**Health & Safety Compliance**:
- Support heads of departments (HODs) in maintaining and enforcing WHS standards, assisting with documentation, tracking compliance, and ensuring site-specific safety practices are adhered to across the event.
- Assist in coordinating safety audits and updating risk registers by gathering information from HODs, documenting findings, and communicating safety concerns for action.
- Foster a proactive safety culture by encouraging the staff to report near misses, hazards, and incidents, ensuring they are documented and addressed promptly.
- Provide administrative support in following up on incident reports and working with HODs to implement corrective measures to prevent recurrence.
- Ensure first aid supplies are well-stocked and purchase new materials when needed.
- Maintain firefighting devices, coordinating regular inspections and necessary servicing.
- Oversee the inspection and maintenance of other safety equipment, ensuring that all safety requirements are met and compliant with relevant regulations.
**Asset Management**:
- Oversee the labelling and identification of all new purchases to ensure equipment is marked as an event property.
- Record all asset purchases in a database for easy reference and future tracking of maintenance needs or replacements.
- Manage the maintenance schedule for essential equipment, ensuring regular servicing and upkeep to prevent breakdowns during the event.
- Purchase spare parts and consumables as needed to maintain the smooth operation of equipment and avoid any disruptions.
- Arrange for repairs or equipment servicing when necessary, coordinating with external providers to ensure timely fixes and minimise downtime.
- Keep an organised inventory of spare parts and ensure the availability of critical assets to avoid delays inoperations.
**Reporting & Communication**:
- Prepare detailed daily reports for senior management, covering key performance metrics, risks, successes, and operational issues.
- Act as the primary liaison between teams and senior leadership, ensuring timely updates on progress, challenges, and resolutions.
- Facilitate regular cross-departmental meetings to address priorities, operational goals, and obstacles.
- Maintain clear communication channels between the operations team and other departments, ensuring updates and issues are relayed efficiently.
- Provide status updates to management on operational issues, outlining immediate and long-term impacts, and offer recommendations when necessary.
**Specific Responsibilities**
**Logistics & Site Operations**:
- Provide administrative support to the Site Manager in setting up and maintaining site infrastructure, including plumbing, power, and technical equipment, ensuring all documentation and coordination efforts are handled efficiently.
- Facilitate the maintenance of visitor pathways, signage, and essential event infrastructure by coordinating with the Site Manager and other department heads.
- Collaborate closely with the Site Manager and other heads of departments to plan and organise maintenance 'dark' days or off-hours ensuring all necessary resources, schedules, and safety protocols are in place.
- Coordinate with traffic management firms and car park-related suppliers to ensure the smooth operation and maintenance of parking and vehicle flow systems throughout the event.
- Monitor and manage administrative tasks related to deliveries and site access control, ensuring secure and efficient handling of incoming resources.
- Organise runners for any operation needs, ensuring tasks are completed efficiently and promptly.
