ApplyJob Type: TemporaryDescriptionJOB SUMMARY: The Shareholder Services Assistant is one of the first points of contact for Sitnasuak Native Corporation ("SNC") and provides front-line support via phone, email, and in person to Shareholders.
Responsibilities include updating shareholder records to ensure current and accurate information in the Sockeye Shareholder Management Portal and Land System, answering shareholder inquiries, and providing general information regarding all Shareholder inquiries and benefits support.
This is a temporary full-time position.Essential FunctionsShareholder Relations AssistantServes as the first point of contact for the shareholder relations department in the SNC Nome office.Answers phone calls, corresponds with shareholders, social workers, attorneys, families, and other Native Corporations.Utilizes the Shareholder Management System to:Makes shareholder record changes, including addresses, direct deposit info, phone numbers, and emails.Scans and uploads received documentation into the system.Verifies shareholder enrollment or dividend information for various agencies.Assists in acquiring affidavits and wills, researching living or deceased relatives, native blood degree, contact info, social security numbers, and dates of birth, and recording court decrees for legal guardianship and redistribution of shares.Prepares Shareholder department information for the SNC Venture.Sends change of address forms, processes address change requests, and maintains related files.Assists in locating "lost" or "missing" shareholders.Provides backup office support for the department.Advises the Shareholder Relations Specialist to verify and correct shareholder status when discrepancies are noted and ensures timely updates affecting payments.Maintains confidentiality in daily operations.Assists with preparations for SNC Shareholder events and participates in such events.Prepares reports on project progress or key issues.Supports the Shareholder Department and participates in special projects.Maintains strict confidentiality of Shareholder and company information.Land AssistantAssists with administrative projects in the Land Department.Conducts basic research, organizes, and archives data per retention policies.Prepares applications and permits for review.Assists with entering Homesite and Campsite info into the Sockeye Management Portal when functional.Other DutiesProvides high-level customer service consistently.Represents Sitnasuak Corporation professionally.Supports Annual Meeting/Election activities as needed.Works safely and remains alert.Completes required training and professional development.Performs other duties as assigned.Supervisory ResponsibilitiesThis position has no supervisory responsibilities.RequirementsMINIMUM QUALIFICATIONS:High School Diploma; technical, vocational, or administrative certification preferred.Previous administrative experience preferred; training available.Proficiency in MS Office.Understanding or willingness to learn about the region, communities, culture, and Shareholders.Familiarity with Sitnasuak Native Corporation values preferred.Ability to obtain Notary Public within 60 days.Fluency in Inupiaq preferred.Ability to travel up to 10% as needed.Valid driver's license and vehicle operation eligibility.Ability to pass background screening.Knowledge, Skills, & AbilitiesKnowledge of ANCSA, Alaska statutes related to stock, and privacy laws.Ability to interpret policies and procedures.Effective prioritization, planning, and goal setting.Ability to follow detailed instructions and processes.Strong interpersonal skills and ability to work independently.Adaptability to change and managing conflicting demands.Conflict resolution skills.Analytical skills for data evaluation and decision impact analysis.Organizational and time management skills.Decision-making and problem-solving abilities.Customer service excellence.Effective oral and written communication skills.Advanced computer skills, especially MS Office; ability to learn new software.Ability to maintain confidentiality and ensure data accuracy.Proficiency with office equipment and basic math skills.Typing speed of 45 WPM and 10-key proficiency.Good attendance, punctuality, and active participation.Comfort with speaking in large groups.Willingness to work flexible hours.Working ConditionsProfessional office environment with customer service focus.
Standard 40-hour week, with possible additional hours for deadlines.Preference StatementPreference given to Shareholders, descendants, spouses, and other Alaska Native Claims Settlement Act shareholders.
