Role Objectives
- To provide high-quality operational and administrative support across SAPA and its SAPA People business to improve efficiency and consistency of delivery.
- To support the coordination of internal processes including finance, onboarding, reporting and systems management.
- To support delivery of projects for SAPA's People and Advisory Services, including reporting for executive search, salary benchmarking, people advisory and leadership & culture.
- To ensure core business operations (meeting scheduling, invoicing, external providers, travel logistics) are delivered and executed accurately and on time.
- To support the development and delivery of new business proposals in Word, PowerPoint, Figma & Canva.
- To contribute to the ongoing enhancement and improvement of SAPA's internal systems, processes, templates and workflows.
- To support client-facing projects across strategic planning, commercialisation, leadership and culture, and people advisory.
- To support a professional, organised and well-functioning working environment.
- To foster meaningful relationships with SAPA clients, partners, and stakeholders.
Dual Reporting To
- General Manager – Strategy, Commercial & Marketing
- Managing Director – SAPA People
Specifically, your role will primarily include:
SAPA Group Executive & Management Team Support
- Calendar and diary management for Executive Directors and Management Team members
- Coordination of meetings, including scheduling, logistics and follow-ups
- Travel and accommodation bookings
- General administrative support across the team as required
SAPA Group Finance & Business Operations Support
- Management of outsourced Accounts Payable function
- Receipt reconciliation and expense tracking
- Coordinate client invoicing with the Accounts Payable team to ensure timely issuing and receipt of fees
- Manage business accounts and subscriptions (e.g. Uber Business, Monday.com, Clockify.com, ThompsonReuters etc)
- Support management of operational expenses and supplier payments
SAPA People (External)
- Support recruitment processes (candidate coordination, interview scheduling)
- Undertake industry and candidate research and assessment
- Attend client meetings and briefings
- Assist in preparation of client proposals and reports
- Manage effective operational delivery of actions and timelines
SAPA Group Operational Support
- Assist in preparation of client proposals and reports (formatting, structuring, coordination)
- Support drafting of standardised emails and engagement documentation
- Assist with engagement agreements and client onboarding processes
- Provide word processing support (formatting documents, managing tracked changes, preparing letterhead documents)
- Support reporting processes (e.g. retainer tracking, project reporting)
- Support consistency in templates, systems and workflows
- Assist in identifying opportunities to streamline administrative processes
- Support SAPA Group's own recruitment processes, induction and onboarding
Qualifications, Experience & Skills
- Previous experience in an administrative, operations or coordination role
- Strong organisational and time management skills
- High attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to manage multiple tasks and competing priorities
- Proficiency in Microsoft Office and common business platforms
- Ability to work autonomously and take initiative
- High proficiency and efficiency in Microsoft Office, PowerPoint & Canva and common business platforms
- Experience in professional services, consulting or sport industry environments
- Experience with platforms such as Monday.com, Xero, or similar systems
- Experience supporting finance or billing processes
- Experience preparing reports, proposals or client documentation
