We are seeking a highly organised and proactive Operations and HSE Systems Administrator to join our Melbourne-based team. In this role, you will be responsible for the coordination and administration of core HSE data platforms, as well as providing essential administrative support to the Operations & Maintenance and HSE teams.
You'll also play a key role in managing local office functions and supporting continuous improvement initiatives across the business.
Key Responsibilities
* Manage purchasing and invoice payments, including raising purchase orders, receipting invoices, and liaising with suppliers and accounts.
* Prepare, edit, and format reports, presentations, and documents for the GM Operations & Maintenance and Head of HSE.
* Perform data entry into key HSE and Operations systems.
* Organise meetings and events, including scheduling, venue booking, catering, and minute-taking.
* Administer HSE data platforms such as incident reporting, journey management, and in-vehicle monitoring systems.
* Coordinate HSE and other training courses (e.g., first aid, safe driving), including liaising with training providers and managing attendance records.
* Support the implementation and ongoing management of HSE initiatives (e.g., Drug and Alcohol Testing Program, Golden Rules, Safety Foundations).
* Maintain intranet content and SharePoint files.
* Manage day-to-day Melbourne office operations, including visitor reception, amenities, and onboarding support.
* Build strong relationships with internal and external stakeholders to promote safety awareness.
* Provide leave coverage for similar roles within the Operations Business Unit.
* Perform other duties as required, aligned with your skills and experience.
About you:
* Minimum 5 years of administration experience in a fast-paced environment.
* Advanced proficiency in Microsoft Office Suite (PowerPoint, Word, Excel, SharePoint, OneDrive).
* Experience with procurement, budgeting, or project management tools (e.g., SAP).
* Familiarity with HSE reporting and monitoring systems (e.g., Archer, JESI).
* Ability to quickly learn and become proficient in internal systems and software.
* Strong understanding of company policies and their operational impact.
