About the Role
Service Stream is seeking a Project Administrator to join its growing team in Melbourne. The Project Administrator is responsible for a wide variety of tasks within the areas of operations, finance, and office management across all business units
Nature of position: Permanent, Full Time
Location: Clayton South or Epping
Reporting Line: Project Manager
Key Responsibilities
* Management of all financial information relating to the works program including time and costs for labour, equipment, and materials as well as management of invoices.
* Co-ordinating and managing purchase requisitions received from the operating unit/project team, ensuring that requisitions are processed in a timely and accurate manner.
* Raise purchase orders within the Service Stream system in a timely and accurate manner from requisitions received or other methods of request as may be appropriate.
* Management of compliance and client related documentation (for example audits, training records etc.).
* Report collation, archiving, distribution, maintaining document register, ensuring submission deadlines are met, tracking RFI's, proof reading and formatting confidential documentation.
* Entry of timesheet hours/costs, plant & equipment hours/costs, and other project related charges as appropriate for the operating unit/project as required.
* Management of meetings including scheduling of meetings, distribution of the agenda and other materials and minuting meetings.
* Management and administration of other company platforms such as Enablon, JAMS, IFS, etc.
* Support program forecasting, financial modelling, cost control management, and performance reporting.
* Assist with risk submissions to the client
* PPE – monitor stock and arrange orders of branded PPE
About You
* Prior experience in providing a high level of Project Administration and Finance to an engineering and construction team
* Strong understanding of purchasing and goods receipting
* Intermediate to advanced level in MS Office suite (specifically SharePoint, Word, Excel, Outlook & PowerPoint)
* Exceptional communications skills and ability to multitask
* Great interpersonal skills with an ability build excellent working relationships
