Primary Objective
As the Data Systems Officer, you will be part of a team who oversees the student administration systems, including integration with timetabling
software, senior certificate systems and support the implementation of system enhancements that maintain data integrity and meet evolving
school and legislative requirements. You will ensure that all students enrolled at Dripstone Middle School comply with departmental standards.
The role also involves supporting the upkeep, accuracy, and timeliness of student data.
Context Statement
Dripstone Middle School is located in the northern suburbs of Darwin and has an enrolment of 685 students with an Indigenous cohort of
20%. The school provides high quality education to students in Years 7 to 9 and ensures every student is given the opportunity to engage,
grow and achieve through its rigorous teaching and learning, and engagement programs. As the Data Systems Officer, they work with the
student administration systems and assist to implement system enhancements to uphold data integrity and meet ongoing school and legislative
requirements. They support the Data Systems team to ensure that all students are enrolled at Dripstone Middle School and are compliant with
departmental requirements. They are responsible for assisting the maintenance, integrity and currency of student data where student
transience is a significant complexity.
Key Duties and Responsibilities
1. As a Data Systems Officer, maintain and update student administration systems, including complex integration features with timetabling
software, vocational education systems, and senior secondary certificate systems to maintain accuracy, currency and integrity of all
records and results both manually and electronically to meet school and legislative requirements.
1. As part of the Administration Team use timetabling software to maintain all records including student details, subject and class changes
and teacher changes.
1. Contribute to the leadership of the School Systems Team to provide training, user instruction documents, and support to all staff in the
effective use of student administration systems including maintenance and management of user accounts, timelines and ensure that all
information provided to other NT Government, Australian Departments, organisation and families is correct.
1. Generate reports from multiple systems to the Principal, leadership, senior staff, client schools and DoE agencies on the collection and
reporting of information and statistics pertaining to secondary school students including management of department's reporting system
and collation of whole school reports.
1. Provide administrative support to the front office, the Principal and teaching staff including word processing, data entry, administrative
and other tasks as directed by the Business Manager, including reception duties.
Selection Criteria
Essential
1. Extensive knowledge of the school operating environment, reporting requirements and high-level knowledge of record management
system policies.
2. Demonstrated high level of interpersonal skills including well developed listening, negotiation and conflict resolution to communicate
with influence and provide best fit solutions to a range of stake holders.
1. Proven ability to contribute and work effectively in a small team and meet strict system and reporting deadlines to adhere to all
reporting obligations and provide for accurate collection of data.
1. Demonstrated high level of oral and written communication skills including preparation of reports, routine correspondence and
demonstrated capability to manage, coordinate support and deliver professional development programs.
5. Demonstrated high level ability to use, develop and maintain a range of student management systems with a thorough understanding
of senior secondary reporting requirements.
6. Demonstrated ability to master education information systems including student administration, timetabling, vocational education
systems, business intelligence and data reporting systems and senior secondary certificate systems or similar.
