Exciting opportunity to be a Senior Administration Officer with the School of Medical Sciences

Base Salary starting from $103,185 + 17% superannuation

About the opportunity

The School of Medical Sciences is recognised as one of the leading centres for medical science education in the world. With over 100 years of excellence in education, we are proud to be training the next generation of medical scientists who will be leading members of the medical research community with an innovative integrated curriculum. Our team of researchers lead key internationally competitive research from molecules to medicines, from patient to policy across a range of therapeutic areas.

We are seeking a Senior Administration Officer to manage general administrative services and provide operational support to the school office. The role involves organising events, preparing documents, managing records, responding to complex enquiries, providing advice on policy and procedures, supporting staff and students, and contributing to efficient administrative operations across the work area.

This position is targeted for Aboriginal and Torres Strait Islander people, under the provisions of section 126 of the Anti-Discrimination Act 1977 (NSW). Responsibilities

* Management of school events, including the School of Medical Sciences retreats, whole-of-school meetings and seminars.
* Provide high quality, efficient organisational support and administration operations services to the School of Medical Sciences, including the support of school working groups.
* Coordination of the casual academic onboarding process for the School of Medical Sciences, including liaising with teaching academics to ensure the appropriate allocation and recording of scheduled teaching activities.
* Maintain accurate and organised records, ensuring that important documents and information are properly filed and easily accessible.
* Respond to complex enquiries and prepare advice, recommendations and solutions on administrative, policy and operational matters.
* Provide faculty-specific administration services and support, including education, staffing and student-related administrative activities.
* Contribute to the FMH administration support community of practice and support continuous improvement initiatives.
* Undertake ad-hoc projects and other activities appropriate within the classification level as required.

About you

* Strong attention to detail, problem-solving skills, initiative and ability to prioritise workload during busy periods.
* Excellent verbal and written communication skills with experience handling enquiries and providing customer service with discretion.
* Well-developed negotiation, relationship building and influencing skills.
* Proactive and positive approach to process improvement.
* Advanced computer skills including Microsoft office and intranet or web software.
* Administrative experience in a tertiary organization or working knowledge of academic institutions and the higher education sector.
* Working knowledge of software programs such as Concur, Unibuy, records management and content management systems.
* Tertiary qualifications in a relevant field, business administration or an equivalent combination of training and experience.
* Working understanding of work health and safety policy and relevant legislation applicable to the work environment.
