The Role
We're looking for a sharp, highly organised Assistant Buyer to support our Head Buyer with the day-to-day running of the buy. This is a role for someone who takes pride in getting things right—accurate POs, clean data, tight follow-up—and who genuinely enjoys the detail of multi-brand retail operations.
You'll own the administrative and operational side of the buying function so our Head Buyer can focus on product, market, and strategy. This is a craft role for someone who understands that great retail runs on great systems and great data.
This is a full-time, on-site role based at our Fortitude Valley boutique. No travel is required.
What you'll do day-to-day
* Own the purchase order process end-to-end—accurate entry, supplier confirmation, amendments, and delivery tracking across 125+ designer brands
* Manage product data flow into our retail and ecommerce systems—style codes, colours, sizes, costs, RRPs—ensuring every piece is clean and correct before it hits the shop floor or website
* Build and maintain buying spreadsheets, linesheets, and OTB tracking—using advanced Excel (pivot tables, VLOOKUPs, conditional formatting) as your daily language
* Track and reconcile deliveries—monitoring delivery windows, flagging delays, reconciling against POs, and coordinating with the warehouse
* Liaise directly with designers, showrooms, and agents on confirmations, delivery dates, amendments, and reorders—often across multiple time zones
* Produce and analyse sell-through reports by brand, category, and season—flagging risks, opportunities, and reorders for the Head Buyer
* Manage sample inventory and showroom samples
* Support end-of-season reconciliation, markdown tracking, and reporting
* Work closely with the warehouse, retail, and ecommerce teams to ensure stock flows smoothly
* Keep the buying calendar, contacts, and supplier information meticulously organised
What we're looking for
* 2-4 years experience in an assistant buyer, buying admin, or merchandising coordinator role within multi-brand luxury or premium retail.
* Advanced Excel skills—pivot tables, VLOOKUPs, complex formulas, conditional formatting. You work in Excel daily and you're genuinely fast at it
* Experience with retail ERP systems (Retail Express or similar)—essential
* Meticulous attention to detail—you catch the small errors before they become big ones
* Highly organised—you manage deadlines, multiple workstreams, and competing priorities without losing track
* Clear, confident communicator—you're comfortable dealing with international agents, designers, and internal team members
* Calm under pressure, solutions-focused, and reliable
* Genuine interest in fashion—you know the houses, read the industry, care about the product
* Comfortable with multi-currency purchasing, international delivery logistics, and multiple overlapping seasons
Nice to have
* Experience working across multiple currencies (EUR, USD, GBP)
* Familiarity with luxury wholesale dynamics and seasonal delivery windows
* Previous exposure to international brand relationships
