About the role
The Team Leader reports to the Business Manager and provides general support in administration, leadership, and compliance. This role also involves supervising and leading a team of Medical Secretaries, Medical Receptionists, and Typists on a daily basis. The role includes maintaining a roster system to manage individuals' working hours, service expectations, and fair workloads across multiple sites.
Part of the team leader's responsibilities also includes serving as the theatre liaison for the various hospitals where the surgeons perform their operations.
Key Responsibilities-
* Prepare and maintain staff rosters, including leave management, in a timely manner and ensure that all necessary schedules are communicated to relevant team members. Reconcile and approve timesheets related to the roster.
* Manage sick and annual leave and handle calls regarding non-attendance.
* Oversee part of the employee lifecycle, including recruitment, onboarding, training, and development.
* Monitor probation periods for new staff.
* Coordinate pre-employment processes, reference checks, employment verifications, and the receipt of appropriate certificates and licences, e.g., police checks.
* Prepare HR letters, including notices of changes in employment status.
* Facilitate the coordination and scheduling of meetings, including preparing agendas and reports, outlining action points, and circulating meeting papers.
* Troubleshoot IT issues and work with the IT company to address software updates, etc.
* Establish policies and procedures and keep them current.
* Attend to maintenance, e.g., cleaning, test and tag, repairs, etc.
* Order stationery and office supplies.
* Coordinate and oversee WH&S activities (TBC)
* Lead and coordinate employees to ensure tasks and performance standards are maintained at a high level.
* Assist the Finance Administrator as required.
* Handle special projects as requested by the Business Manager.
You will also be expected to cover the front desk when required.
We are looking for someone with-
* Tertiary qualifications in a relevant Practice Management or Leadership degree.
* Managed a small team.
* Experience with a medical software program, preferably Genie.
* A collaborative and flexible style, with a solid commitment to leadership, building teamwork and patient care.
* High-level written and verbal communication skills, with the ability to effectively communicate with staff at all levels.
* Proven ability to implement new procedures and processes, working both independently and collaboratively as part of a team.
* Demonstrated ability to undertake several projects concurrently, maintain work quality and be flexible and adaptable in approach to multiple requests.
* Knowledge of employment lifecycle processes and documentation.
