The Administration Officer is responsible for supporting a range of daily administration and organisational tasks for all Managers and teams within the Strategy and Engagement unit. The Administration Officer will report to the Manager Engagement and Partnerships in this unit, and will be supported to develop clear workflows, schedules and processes to be able to provide support to each of the unit's teams. The Administration Officer will engage with other staff across the organisation, including but not limited to the Corporate Administration team, relevant Executive Assistants, and Administration teams within home care and residential business units.
You'll also make an impact by:
* Supporting day-to-day administrative tasks such as printing, filing, posting, preparing letters, and general office coordination.
* Assisting with processing purchase orders, invoices, fundraising donations and expense claims for the unit.
* Supporting coordination of internal and external meetings, including catering, minute taking, agenda preparation, and follow-up actions, and travel arrangements.
* Maintaining accurate and confidential filing systems (electronic and hard copy) in accordance with Helping Hand policies.
* Identifying and suggesting process improvements to enhance administrative efficiency and team coordination.
What you'll bring
* To succeed in this role, you will have:
* Previous experience in an Administration role
* Demonstrated high level of interpersonal skills, with the ability to liaise with people from a diverse range of backgrounds
* Demonstrated commitment to creating and maintaining a positive team environment
* Excellent verbal and written communication skills
* Excellent time management skills
* Ability to manage a range of tasks concurrently, and to show initiative to help anticipate emerging needs
* Exceptional customer service skills
* Proficiency in Microsoft platforms
* Valid NDIS Worker Screening clearance or willingness to obtain one.
You'll stand out from the crowd if you have some of the following:
* Experience in, or understanding of, the aged care sector
* Post secondary school qualifications in office administration, or relevant experience
