We are seeking an administrative coordinator to manage the front office of our family-based physiotherapy clinic, which serves a diverse caseload ranging from infants to athletes. Smooth processes and systems are essential for the success of the business. We are looking for someone with outstanding organisational skills and a personal disposition that supports our growth. The ideal candidate will have the ability to handle complex planning and scheduling while exhibiting flexibility in daily routines. This individual will help us achieve organisational efficiency by fostering a positive and inclusive work environment.
Responsibilities
• Ensure accurate and efficient scheduling and maintenance of therapist calendars.
• Perform daily office activities as the main point of contact in the reception area, including maintaining spreadsheets, taking and reconciling payments, client liaison for intake and appointment management, greeting clients, managing records and data entry, assisting with scanning, copying, filing, as well as general cleaning/office duties and other tasks as required.
• Ensure office efficiency by keeping common areas tidy, organising procedures, handling correspondence, managing file systems, and overseeing supplies and equipment.
Required Skills
• Two or more years of experience in office administration.
• Strong time-management and interpersonal skills, a high degree of flexibility, and excellent multitasking abilities.
• Ability to function semi-autonomously and prioritize your own work within established policies, guidelines, and procedures.
• Proficiency with office applications and an aptitude for learning new software and systems.
• Ability to maintain confidentiality of company and client information.
• Well-developed communication and interpersonal skills.
• Understanding of NDIS, Medicare, DVA, and Workers' Compensation systems and processes is desirable.
• Experience in developing internal systems is also desirable.
