The Role

This is a central, high-impact role working directly with our Managing Director and Leadership Team.

You will act as the coordination hub of the business, protecting priorities, strengthening communication, elevating workplace experience and ensuring the engine keeps running smoothly.

You are not here to just manage admin. You are here to lift how we operate.

What You Will Own

Office Management and Workplace Experience - We are a high-performing team and environment matters:

Maintain a consistently organised, well-stocked and professionally presented office

Manage facilities and supplier relationships to minimise disruption

Oversee cleaning and parking rosters to ensure fairness and smooth operations

Coordinate new starter onboarding in collaboration with HR to ensure a seamless employee experience

Provide timely and accurate HR administrative support to strengthen internal processes

You will elevate the day-to-day experience for our team.

Executive Support - You will work closely with the Managing Director to create clarity, structure and focus

Strategically manage the MD's diary

Coordinate travel logistics and build purposeful itineraries that maximise stakeholder engagement and efficiency

Prepare agendas, briefings and meeting notes that drive clarity and clear ownership of actions

Support the MD's industry profile through coordination of speaking engagements, bios, partnerships and advocacy initiatives

Ensure Leadership Team members have clear visibility of expectations, deliverables and decision timeframes through proactive communication and documentation

Events - Oztix is deeply connected to the event industry. How we show up matters

Support high-quality internal events including retreats, staff meetings and team lunches

Lead coordination of industry activations that strengthen brand presence and stakeholder engagement

Manage guest lists, RSVPs, suppliers, catering and sponsorship materials with precision

Deliver events within budget while maintaining strong brand alignment and relationship outcomes

You will help shape how the industry experiences Oztix.

Business Coordination and Communication - You will strengthen visibility and accountability across the business

Maintain a centralised and visible calendar of key business events and leadership commitments

Track meeting actions and follow up with stakeholders to drive progress

Organise and maintain accessible documentation and reporting systems

Coordinate content and presentations for fortnightly staff meetings

What You'll Bring

Minimum 3 years experience in a similar coordination, executive support or business support role

Excellent written and verbal communication skills with the ability to adapt your style depending on your audience

Natural organisational strength with the ability to juggle multiple priorities without losing momentum

High attention to detail and pride in accuracy

Strong time management and the ability to meet deadlines without needing constant direction

Proactive, self-motivated and solutions focused

Confident managing expectations across all levels of the business and externally with industry stakeholders

Comfortable following up, nudging and holding people accountable respectfully and professionally

You are someone who does not wait to be told what to do.
