**About the role**:
This role is responsible for providing a wide range of executive assistance and general administrative support to the CEO. It will provide high-level executive support and interaction with company employees, third parties and Board members.
**Duties**:
- Provide high level executive assistance and administrative support to the CEO
- Communicate with the organisation's Executives team, Board members, suppliers, and clients at the direction of the CEO
- Prepare responses to correspondence containing routine inquiries
- Manage and maintain the diary for the CEO including internal and external commitments
- Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings
- Coordinating meetings, functions and business events
- Managing travel, accommodation, itineraries, and background briefings
- Organise business appointments and travel arrangements for the CEO
- Preparation, collation and distribution of documents
- Develop action plans in consideration with time constraints and resources available
- Compiling weekly & monthly reports
- Assists the CEO with the preparation of Board and Committee meetings and documents
- Compile, transcribe, and distribute minutes of meetings
- Create agendas, supportive documents & presentations required for meetings
- Maintain high level confidentiality
- Complete and submit expense reports, process invoices and track purchasing requests
- Provide support for office and marketing projects
**Desired Skills and Experience**:
**Essentials**:
- Minimum 5 years' experience in an Executive Assistant role
- Advanced knowledge of Microsoft Office suite
- Ability to work with stakeholders at all levels
- Demonstrated ability to multi-task and operate in a faced paced environment
- Attention to detail, with strong administrative, planning and organisation skills
- High level written and oral communication skills, and high-quality report writing
- A high level of competence in taking minutes at meetings
