Due to the operational complexity of coordinating disability support services and managing a growing workforce, Humani is seeking an experienced Office Manager to oversee the day-to-day administrative and operational management of the organisation.

About the Role
As an Office Manager, you will be responsible for:
Operational Management
* Manage the day-to-day administrative and operational activities of the organisation
* Coordinate support worker rosters and workforce allocation
* Oversee service delivery scheduling and operational workflows
* Contribute to the planning, review and continuous improvement of office services and administrative procedures
* Set operational priorities and ensure office service standards are maintained across administrative functions.
* Allocate organisational resources including staff, workspace and operational equipment
* Ensure office equipment, systems and operational resources are properly maintained and available
Staff Coordination
* Supervise support worker onboarding, compliance and documentation
* Coordinate training and professional development activities
* Maintain staff compliance with NDIS requirements
* Support recruitment, onboarding, and training of support staff, ensuring a well-matched and qualified workforce.
Administrative Management
* Manage organisational records, documentation and internal systems
* Oversee operational processes within management platforms such as ShiftCare
* Prepare operational reports for management review
* Assign administrative tasks and monitor performance and workflow of office staff and support workers
* Manage timesheets, shift allocations, and client assignments through ShiftCare, and process payroll through Xero, including Single Touch Payroll (STP) compliance
Financial and Administrative Coordination
* Coordinate NDIS invoicing processes and service documentation
* Liaise with plan managers and support coordinators
* Assist with payroll administration and financial record management
Compliance and Quality Assurance
* Ensure operational compliance with NDIS practice standards
* Maintain organisational policies, procedures and documentation
* Assist in incident reporting and risk management processes
* Ensure compliance with occupational health and safety regulations within the workplace
* Ensure organisational operations comply with relevant government legislation, policies and procedures
Client and Stakeholder Coordination
* Act as a point of contact for participants, families and support coordinators
* Facilitate communication between clients, support workers and management
* Liaise with external professionals and service providers to coordinate operational matters and resolve administrative issues
* Proven experience in administrative and operational management within healthcare, disability services or community services
* Experience coordinating multidisciplinary teams and service delivery operations
* Strong understanding of disability support environments and high-needs participants
* Experience managing staff coordination, compliance and operational documentation
* Ability to implement organisational policies and administrative procedures
* Excellent organisational and communication skills
Highly Desirable
* Previous experience working with individuals with complex disability or high support needs
* Experience working within NDIS-funded services or healthcare service environments
* Formal qualification in Leadership, Management or Health-related disciplines
* Experience coordinating clinical or care-based multidisciplinary teams
* Strong understanding of healthcare service delivery and operational management
