This role sits within the DCS BC Building Compliance Business Support Division in the Building Compliance Support Team.
About the Role:
As an Executive Support Officer, you will play a pivotal role in ensuring the smooth operation of the Building Compliance Directorate. This dynamic position provides high‐level, confidential executive and project support to the Director and leadership team.
Key Responsibilities:
* Provide high-level executive and administrative support to the Director and Directorate.
* Manage complex diaries, meetings, travel arrangements, and maintain accurate records.
* Prepare agendas, minutes, reports, briefing notes, and presentations.
* Oversee administrative systems and processes, including procurement, invoicing, and contract management.
* Deliver secretariat support for project meetings and committees.
* Assist with project management activities, including documentation and reporting.
* Act as a key liaison with internal teams and external stakeholders.
* Use advanced Microsoft Office, SharePoint, and electronic systems to complete tasks efficiently.
* Problem‐solve and adapt to changing priorities in a fast‐paced environment.
About You:
* Proven experience in executive support or high-level administration.
* Exceptional organisational and time management skills.
* Strong attention to detail, confidentiality, and adaptability.
* Ability to manage competing priorities under pressure.
* Experience with administrative systems, invoicing, procurement, and contract management.
* High-level written and verbal communication skills.
* Advanced proficiency in Microsoft Office Suite, SharePoint, and electronic record systems.
* Experience preparing project documentation and providing secretariat support.
* Knowledge of relevant legislation (desirable):
o Residential Apartment Buildings (Compliance and Enforcement Powers) Act 2020
o Home Building Act 1989
o Design and Building Practitioners Act 2020
