About the role
Mater Private Hospital Townsville is seeking an experienced administrator/ patient services officer to join our dynamic Patient Services Department. In this role you will predominantly work within pre admissions, with the ability to pick up additional shifts across our teams. This casual position offers approximately 24–38 hours per week, with the need for someone who can reliably work a flexible roster. Shift times vary across the department and may fall anywhere between 5:45am and 10:00pm.
The Patient Services teams are accountable for the end-to-end patient journey. These key functions include theatre bookings/administration, patient registration, admissions and customer experience, ward reception, health records, and sessional suites.
* Accurately enter all patient registration details into hospital systems.
* Verify patient eligibility with health funds, including waiting periods, financial status, and policy coverage.
* Identify and communicate any out‐of‐pocket expenses such as excesses, copayments, and fee estimates.
* Prepare hospital charge estimates when PEA (Pre‐Existing Ailment) rules apply.
* Manage patient admissions, discharges, and transfers efficiently and accurately.
* Respond to all phone calls, emails, and patient enquiries with professionalism and clarity.
* Work collaboratively within an interdisciplinary team to deliver timely and precise administrative support.
* Coordinate and structure outpatient clinic appointments.
* Maintain effective relationships with consultants to support smooth clinical operations.
* Prepare, track, file, and maintain medical records, while assisting with wayfinding and general enquiries.
About you
To be successful in this role, you willpossess:
* Demonstrated ability to work methodically with speed, efficiency, and exceptional attention to detail in a time-pressured environment.
* Proven experience working in an administrative role within a medical or hospital environment or extensive data entry experience.
* Sound computer literacy and numeracy skills, well-developed keyboard skills, and familiarity with patient administration systems.
* Sound written and verbal communication skills with internal and external stakeholders.
* Demonstrated effective interpersonal skills and ability to work under the direction of others in a multidisciplinary team environment.
