Primary objective
Provide a high level of executive, secretarial and administrative services to the Regional Executive Director (RED), East Arnhem Region, ensuring
day to day administrative tasks are completed within specified time frames and in a professional manner.
Key duties and responsibilities
1. Provide comprehensive administrative support to the RED which may include:
* Providing high level secretarial support including minute taking and logistical support to working groups, committees, and events/functions.
* Monitoring all communication channels in and out of the Executive's office, including email and diary management, scheduling meetings,
and travel arrangements
* Maintaining appropriate administrative systems, registers, processes, databases, and record management ensuring effective and efficient
workflows within the unit
* Managing a range of procurement functions including travel arrangements, purchasing, and processing credit card transactions
* Supporting working groups, committees and events/functions to support the East Arnhem Regional Health Service.
2. Liaise in a discreet and confidential manner with a wide range of people including but not limited to, all levels of staff within the agency, the
Minister's office, external stakeholders and the public.
3. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken to ensure high
quality, safe services and workplaces.
Selection criteria
1. Demonstrated experience providing administrative support to a senior leader or executive, including managing calendars, scheduling
meetings, handling correspondence and maintaining confidential files and records.
2. Proficient in the use of MS Office (Word, Excel, Outlook, Teams, and PowerPoint), record management systems and major business systems,
with a willingness to adopt new technology.
3. Well developed professional, interpersonal, and influencing skills with the ability to communicate effectively (both written and verbal) with a
diverse group of stakeholders, build positive working relationships across the organisation, and interact effectively with people from diverse
cultures.
4. Prior experience operating in a fast-paced environment with a strong organisational and time management skills with the flexibility to manage
changing priorities and work independently with minimal supervision.
5. Strong attention to detail, supported by sound analytical and problem-solving skills, with the ability to identify issues, confirm priorities,
develop creative solutions, and appropriately delegate or escalate to achieve positive outcomes.
6. Demonstrated ability to maintain a high degree of sensitivity, tact, discretion and exercise sound judgement in dealing with confidential and
sensitive matters.
7. Experience with office procedures, including arranging travel, payment processes, supply management, credit card management, data
sourcing and entry, and records management.
8. Proven ability to develop, maintain and advise on processes e.g. administrative workflows, procurement, travel and records management.
Desirable
1. Certificate IV Business Administration or 3 years' work experience within an Administration type position.
