Administrative Works Manager

This position involves managing the administrative interface between Work Supervisors, subcontractors, and clients. The successful candidate will ensure accurate job planning, resource allocation, and progress tracking. Reporting directly to the Delivery Administration Manager, you will work collaboratively with both client and BGIS teams to ensure Work Orders are completed accurately, efficiently, and within required timeframes.
The ideal candidate will be organised, communicative, and process-driven, with strong attention to detail and the ability to manage high volumes of work in a fast-paced environment.
Key Responsibilities:
* Review new Programmed Work Orders and create work programs based on trade separation.
* Allocate appropriate Work Supervisors and subcontractors to each order.
* Issue and monitor progress of Work Orders, updating systems as required.
* Support Work Supervisors with documentation, compliance updates, and issue resolution.
* Maintain accurate and timely communications and status updates in the Evolution system.
* Evaluate non-compliance or inconsistent feedback to the Delivery Administration Manager.
* Conduct checks with trade contractors to ensure accurate reporting and data alignment.
* Generate reports on performance and WIP as required.
Requirements and Qualifications:
* Excellent administrative and organisational skills.
* Strong written and verbal communication.
* Experience in recording, preparing documentation, and data entry.
* Proven ability to manage competing tasks and follow procedures under pressure.
* Proficient in using digital systems and tools, with willingness to learn Evolution software.
* Administration or Data Entry qualifications.
* Understanding of the building/construction industry.
* Experience working with subcontractors and within trade service environments.

This position will initially be based on-site at our Sydney Head Office. After a successful integration period, there may be an opportunity for a flexible hybrid working arrangement.
