**The Role**
The purpose of the role and your unique contribution is to provide efficient and effective support and coordination for the Manager(s) within the Direct Claims business unit, as well as provide a very high level of administration. The Assistant will be well organised, flexible, thorough, and self-motivating, have the ability to work with mínimal supervision, exhibit expert levels of written and verbal communication skills and demonstrate continuous attention to detail.
**Key Responsibilities**
- Efficient and proactive diary management including informing the Manager(s) of their schedule on a daily basis and preparing materials prior to meetings
- Manage travel arrangements
- Screen, receive and direct communication, including telephone calls, and greet visitors and guests where appropriate.
- Distribute reading material as directed and follow up any responses / replies prior to the due date
- Plan meetings and events and ensures:
- Rooms / venues, catering, and equipment are booked in advance
- Coordinate responses of invited attendees and logistics
- Preparation and distribution of meeting agenda and papers
- Assist the Manager(s) and their direct reports in producing high quality reports, documents and presentations using advanced computer skills
- Maintain and update confidential files and records
- Monitor and order office supplies to ensure an optimum supply.
- Assist the Manager/s on ensuring the team's compliance with all processes, guidelines, policies, standards, and supervisory practices
- Process invoices, credit card statements and expenses within IAG guidelines.
**Experiences, Capabilities & Qualifications**
Required:
- Proven Assistant experience supporting Executives
- Strong computer skills (Microsoft Office Suite - Outlook, Word, PowerPoint, and Excel)
- Ability to travel when required
- Strong written and verbal communication skills
- Organised and professional with an ability to perform several tasks simultaneously
- Completion of HSC or equivalent (essential)
- Comfortable interacting with senior executives and external regulators
Desired:
- Prior experience in the financial services industry (Insurance industry a plus)
- Ability to work autonomously and use initiative
- Attention to detail
- Excellent time management skills
