Experienced Administration Assistant

Electrical Services – Commercial & Residential

Are you an experienced administration professional who thrives in a fast-paced environment and enjoys bringing structure and organisation to a busy business?

Do you enjoy being the person who keeps everything running smoothly behind the scenes?

O'Meara Electrical is a growing electrical services company delivering high-quality work across both commercial and residential projects. As demand for our services continues to grow, we are looking for an Experienced Administration Assistant to help strengthen the day-to-day operations of the business.

This is not a junior admin role. We are looking for someone confident, proactive and experienced who can take ownership of the office function while helping implement systems and processes that support a growing business.

This role is particularly well suited to someone with trades administration or property management experience, as the day-to-day coordination of jobs, customers and technicians is very similar to managing maintenance within a property portfolio.

The Role

You will be the central coordination point of the business, working directly with the business owner and supporting the technicians in the field.

The business is currently in a strong growth phase, which means this role requires someone who is comfortable stepping into a fast-moving environment and helping bring structure, organisation and clear processes to the day-to-day operations.

You will manage customer enquiries, coordinate jobs, keep schedules organised and ensure administration runs

Key Responsibilities

• Scheduling and dispatching electricians using ServiceM8
• Managing job workflows from booking through to completion
• Handling day-to-day customer enquiries and incoming calls
• Ensuring invoices are issued promptly and following up outstanding payments
• Coordinating suppliers, materials and job information
• Maintaining accurate job documentation and compliance records
• Assisting the business owner with improving systems and processes

About You

We are looking for someone organised, confident and experienced working within a fast-moving service-based business.

You will likely have experience in:

• Job management software such as ServiceM8, SimPro, Tradify or alike….
• Administration within the electrical, construction or trades industry
• Property management or real estate administration (highly transferable experience)
• Managing multiple jobs and priorities in a busy environment
• Communicating with customers, technicians and suppliers
• Maintaining strong attention to detail while working efficiently

Most importantly, you are someone who enjoys a dynamic role, creating structure, improving systems, and bringing organisation to a growing business.
