CLASSIFICATION: Permanent Full time - 38 hours/week
CONTRACT DURATION: 4 years, subject to a 6-month probationary period.
SALARY RANGE: $50 000 to $60 000 per annum dependant on skills and experience (4- year contract with the option to negotiate and subject to funding + superannuation & salary sacrifice available).
* The position is subject to a six (6) month probationary period and an annual performance review.
* The position is reliant on the availability of ongoing funding and organisational financial capacity.
ROLE DESCRIPTION
The role of the IPA Administration Assistant will provide administrative support for Girringun’s IPA Coordinator and IPA program including its operation, management and maintenance within the Girringun IPA region. This position has a strong focus on administration, communication, education, awareness and supporting the delivery of on-country meetings, workshops and project activities, at the advice of Traditional Owner groups that collectively form the Girringun Region IPA.
KEY RESPONSIBILITIES & DUTIES:
The Girringun IPA Administration Assistant will provide confidential administrative support to Girringun’s IPA management including its operation, management, and maintenance within the Girringun IPA region. In accordance with Annual Project Plans, the IPA Administration Assistant is required to:
* Ensure IPA Program meetings/workshops are effectively organised.
* Collate and provide required documentation for the IPA Coordinator and Team.
* Provide the IPA program with secretarial and administrative support for meetings and workshops.
* Maintain efficient filing system (electronic and hard copies).
* The position will require some travel and working flexible hours on occasions.
* Liaise and engage with traditional owners within the Girringun region.
* Coordinate all IPA Team travel arrangements for meetings, workshops and conferences.
* Develop and maintain an awareness of the Girringun IPA and Traditional Owner priorities for country and culture while upholding cultural protocols.
* Support the IPA Coordinator to support the IPA, TUMRA and Rangers Coordinators in implementing caring for country initiatives.
* Database Management: Maintain and update databases related to stakeholders, project activities, and funding sources to ensure accurate record-keeping.
* Asset and Inventory Management: Support the tracking and maintenance of IPA program assets such as vehicles, equipment, and supplies.
* Training Coordination: Support staff and Traditional Owners with training needs by organising training sessions, tracking progress, and managing records.
* Conduct any other duties as requested by the IPA Coordinator.
