Circus Monoxide is a vibrant not‑for‑profit circus arts hub in Fairy Meadow, bringing together diverse communities, professional artists, and participants of all ages through inclusive circus and physical theatre. As the Illawarra's only circus training school, we have spent more than 20 years delivering high‑quality classes, creative development, and community outreach that celebrate individuality and foster belonging.

Our programs span toddler classes to emerging‑artist pathways, with training in aerials, tumbling, acrobatics, juggling, hoops, school holiday programs, birthday parties, and specialist development streams. Role Overview

The Customer Service & Operations Coordinator is a hands‑on, highly organised team member who keeps artists, students, families, and the wider community at the centre of day‑to‑day operations. This role blends frontline customer service with venue management, equipment oversight, scheduling, safety compliance, and administrative support to ensure Circus Monoxide runs smoothly as a small, inclusive not‑for‑profit circus school.

You are calm under pressure, technically literate, and comfortable switching between reception duties, managing enquiries, coordinating rosters, supporting productions and events, and maintaining a safe, functional training environment. As a primary point of contact for families, artists, coaches, and community partners, you help create a seamless experience where coaches can teach, artists can create, and young people can thrive.

Acting as the bridge between customers, frontline teams, and internal operations, you manage enquiries, resolve issues, streamline processes, and support reporting and administrative systems. You ensure our physical space, equipment, and safety protocols are robust enough to support our artistic, educational, and community goals. In this role, you are the operational backbone of the circus—keeping the organisation running with clarity, care, and a deep commitment to inclusion.

Key Skills, Attributes & Selection Criteria

Essential

Customer Service & Communication
Proven customer service experience in a busy reception or front-facing role. Confident managing enquiries, bookings, payments, and debt collection while maintaining a calm, professional, and welcoming presence. Strong interpersonal and communication skills with the ability to engage effectively with diverse age groups including young children, parents, artists, and community stakeholders.

Organisation & Administration
Highly organised, meticulous, and motivated with the ability to manage multiple tasks simultaneously. Demonstrated experience with bookings, scheduling, and staff rostering, with familiarity with booking platforms such as Iclass Pro highly regarded. Competent in basic financial administration including payments, invoicing, and spreadsheet management.

Leadership & Team Coordination
Experience coordinating or supervising casual staff or small teams. Able to provide clear direction, support staff, and contribute to a positive, collaborative workplace culture.

Technical & Operational Skills
Strong digital literacy and confidence using booking systems, project management tools, and general digital platforms. Working knowledge of workplace health and safety practices, including OHS/WHS procedures and incident reporting.

Adaptability & Problem Solving
Able to remain calm and effective in a fast-paced and sometimes unpredictable environment. Comfortable responding to operational challenges and varied tasks, from technical troubleshooting to assisting with class or event planning.

Sector Experience & Values Alignment
Experience working within a creative, recreational, fitness, or community-focused environment. Demonstrated commitment to inclusive, community-centred practice and a belief in the positive social impact of arts and movement-based programs.

Certifications
Current Working with Children Check (WWCC).

Desirable

Qualifications & Professional Development
Tertiary qualification or at least three years' experience in operations, venue management, administration and customer support, or a similar role.

First Aid
Current First Aid certificate including CPR.

Arts & Circus Sector Experience
Understanding of circus, physical theatre, or movement-based training, or personal experience participating in circus, dance, gymnastics, or related disciplines. Experience supporting arts programs, school holiday programs, performing artists and collaborating with key stakeholders from community and diverse backgrounds is highly regarded.

Not-for-Profit & Community Arts Experience
Experience working within a not-for-profit organisation or community arts environment is highly regarded.

Digital & Marketing Tools
Familiarity with software and platforms such as Xero, Iclass Pro, Canva, Adobe, office 365, SharePoint and google drive. Experience supporting social media promotion or digital communications.

POSITION DETAILS

* Reports to: Management Committee

* Direct Reports: Casual and contracted staff

* Location: 3/3 Princes Hwy, Fairy Meadow

* Terms: 20-25 hours per week, onsite only

* Casual with a willingness and ability to grow to fulltime

* Hours: weekday afternoons between 2 – 7pm, weekends as required

* Salary: $70,000 depending on experience Pro Rata +12% super
