Role: Executive Assistant (Dual Principal)

Contract: 6 month fixed term with 3 month extension option, market review at 6 months
About the role
This is a dual‐principal EA role supporting the General Manager and the CFOO across a fast‐moving, multi‐entity retail and franchise group operating 140+ stores nationally and internationally. The GM holds accountability across store fitouts, white‐label R&D, insurance placement, and HR escalation alongside broader general management. The CFOO operates across finance, banking, legal, procurement, international expansion, and franchise operations.
The role demands someone who thrives in complexity, switches between competing priorities multiple times a day, and operates with genuine autonomy. This is not a diary‐and‐travel EA brief. The right person will anticipate needs, solve problems before they land upward, and communicate with precision across internal and external stakeholders at all levels.
Key responsibilities
* Manage calendars, scheduling, and meeting coordination across two senior executives with competing demands
* Prioritise and triage incoming requests on an intraday basis, exercising independent judgement on urgency and sequencing
* Prepare briefing materials, agendas, correspondence, and follow‐up actions
* Coordinate across internal teams and external parties including legal, banking, accounting, insurance brokers, fitout contractors, HR advisors, and franchise partners
* Track action items and open loops across both principals, proactively chasing completion without being prompted
* Support project coordination across fitout timelines, white‐label product development milestones, insurance renewals, and HR escalation workflows
* Manage travel, events, and ad hoc projects as required
* Handle confidential and commercially sensitive information with absolute discretion
What we need
* Proven experience as an EA supporting multiple senior stakeholders simultaneously
* Exceptional context‐switching ability, this role requires intraday reprioritisation, not weekly or monthly
* Strong written and verbal communication, polished, concise, and professional
* Genuine autonomy, the ability to assess a situation, make a call, and act without waiting for direction
* Executive presence and the confidence to interact with board‐level contacts, suppliers, legal counsel, insurance brokers, HR advisors, and banking partners
* Strong general technology literacy across modern business platforms
* High attention to detail and the ability to maintain quality under pressure
Salary
$95,000 to $105,000 base plus superannuation, commensurate with experience
