Your responsibilities will include:
We are searching for a decisive, empowering, and highly professional Executive Assistant/Administration Supervisor to support the Program Director, AIR6500, Program Office and senior leaders. The perfect candidate will excel in communication, diary management, coordination and leadership and thrive in a fast-paced, high profile environment.
Key Responsibilities
* Deliver high-quality, proactive administrative support to the Program Director, Program Office and senior managers
* Manage complex calendars, balancing competing priorities with precision and foresight
* Coordinate domestic and international travel, including bookings and expense management
* Build and maintain strong, professional relationships with senior Defence leaders and key stakeholders
* Liaise confidently across all levels of the organisation, demonstrating diplomacy and discretion
* Maintain confidentiality and handle sensitive information with the highest level of integrity
* Maintain organisational charts, distribution lists, and internal communication channels
* Support PMO activities and ensure smooth administrative operations across the program
* Supervise and mentor a small administration team
* Oversees staffing, training and performance management
* Champion a culture of continuous improvement, process efficiency and employee engagement

Key Skills & Experience
* Extensive experience as an Executive Assistant supporting senior executives
* Advanced diary management and coordination across multiple stakeholders
* Exceptional written and verbal communication skills
* Strong collaboration skills, with experience engaging senior leaders and external stakeholders
* Proven ability to manage competing priorities with accuracy, sound judgement, and composure
* High level of initiative, discretion, and professionalism
* Experience leading or supervising administrative functions or teams
* Excellent organisational skills, with strong attention to detail
* Ability to adapt quickly in a dynamic environment and manage ambiguity
* Discretion in handling confidential material and professionalism in all transactions
* Strong written and verbal communication skills
