Business Assistant / Executive Right Hand

The Opportunity

We are seeking an exceptional Business Assistant to operate as the Director's strategic right hand. This is a pivotal role for someone who thrives in dynamic environments, thinks several steps ahead, and values responsibility, autonomy, and long‑term growth.

As the organisation continues to expand, the Director requires a highly competent partner who can remove operational friction, streamline communication and administration, and provide complete confidence that the day‑to‑day is handled, allowing him to focus on high‑level growth, vision, and execution.

This is a role for someone who brings initiative at a leadership level, strong business acumen, and the desire to meaningfully contribute to a group of evolving businesses.

Key Responsibilities

* Become the Director's trusted extension — managing priorities, filtering information, and protecting his time.
* Oversee inbox and calendar with precision, ensuring clarity, flow, and proactive scheduling.
* Step into operational decisions with confidence, escalating only what genuinely requires Director involvement.


Project & Business Operations

* Maintain holistic oversight of multiple businesses and initiatives, including property development and community projects, hospitality venues, real estate and investment entities, technology and emerging ventures.
* Coordinating with builders, contractors, insurers, planners, and council representatives.
* Managing compliance and regulatory requirements (e.g., liquor licensing, council applications, insurance follow‑ups).
* Preparing board papers and assisting in the running of board meetings.
* Tracking project milestones, timelines, and key actions across the group.
* Establish and maintain a streamlined digital filing system (Google Workspace).
* Implement organisational processes that increase efficiency across the group.
* Ensure smooth communication between internal and external stakeholders.
* Provide oversight to the group's bookkeeper, ensuring accuracy of invoices, payments, and reporting.
* Liaise with banks, accountants, and financial partners with professionalism and confidence.


Discretionary Support Across Business & Family Logistics

* Coordinating personal appointments or travel.
* Assisting family members with occasional administrative tasks.
* Ensuring household or vehicle logistics are handled efficiently.
* Providing practical support that enables the Director and family to operate smoothly as the businesses grow.


What You Bring

* 10+ years experience as a Business Assistant, Executive Assistant, Chief of Staff–style role, or similar.
* Demonstrated experience supporting senior executives across multiple projects and business streams.
* Strong operational understanding and confidence navigating complex, shifting priorities.
* High‑level communication and stakeholder management skills.
* Experience dealing with councils, banks, insurers, or regulatory bodies.
* Proficiency in Google Workspace and Xero.
* Proven capacity to maintain confidentiality, manage sensitive information, and operate with discretion.
* A proactive mindset — you solve before problems surface, and you organise before chaos can form.
* A genuine desire for a long‑term role where you can grow with the organisation.
