Allygroup is searching for a highly capable and professional Executive Assistant to join a fast‐paced federal government agency. This opportunity is a labour-hire position for an initial 12-month contract.
This role is suited to an individual who is highly organised, personable, flexible and agile, and who thrives in a fast‐paced, high‐volume environment. You will bring a strong customer‐centric approach and be comfortable engaging with a broad range of internal and external stakeholders. The successful candidate will demonstrate sound judgement, discretion, and the ability to think on their feet, proactively identifying solutions as issues arise.
Candidates must be an Australian citizen with NV2 clearance, Canberra-based and be available on a full-time basis.
Duties may include, but are not limited to:
* Managing the office and diary of one or more SES officers
* Managing SES email inboxes, calendars, appointments and associated briefing requests
* Coordinating and preparing meeting briefs, papers, minutes and correspondence, including tracking tasks to ensure completion in line with priorities and deadlines
* Managing office systems and records using Microsoft Office and electronic systems including SAP, PDMS and TRIM
* Undertaking research and analysis to support project, administrative and coordination activities
* Organising domestic and international travel, including visa applications, travel itineraries and financial reconciliations
* Exercising discretion and sound judgement in managing workflows, information and visitors for SES officers
* Working collaboratively across the Department to support shared outcomes
* Providing support and assistance to administrative coordination units within the work area
* Previous experience as an Executive Assistant in a government or public sector environment is highly desirable
Duties may vary depending on the priorities and operational requirements of the SES officers you support.
