Position Overview:
We are seeking a talented Business Operations Specialist to support our Australian IT organisation based in Melbourne or Brisbane. This role will play a critical part in supporting the execution of our strategy, operations, governance, risk, compliance, and financial processes, enabling successful operations across the region.
The ideal candidate will have experience in IT services or technology-driven environments and thrive in a fast-paced role blending business strategic support with data analysis, project coordination, and reporting.
Due to the international nature of the role and business as a whole, there may be the requirement to support after-hours meetings and calls; however, flexibility is encouraged.
Key Responsibilities:
* Prepare regular business performance updates for leadership and stakeholders
* Maintain comprehensive reports, executive scorecards, and dashboards to track key results and performance indicators providing insights to stakeholders and driving decision-making
* Act as a liaison between IT divisions ensuring clear and consistent communication regarding organisational updates, achievements, and strategies realisation
* Continuously monitor and evaluate performance metrics and ensure that objectives and key results are updated for monthly business performance reporting
Governance & Compliance:
* Represent the organisation on compliance and compliance-related activities, monitoring and liaising with teams where remediation activities are required
* Work with and support the IT Compliance Teams with internal and external audit co-ordination
Finance:
* Assist in budgeting, forecasting, and financial planning processes
* Workforce co-ordination and keep a record of all resource requests collaborating with various teams throughout the approval process (LT, HR, Finance)
* Collaborate with IT, finance, supply chain, and HR to support cross-functional collaboration
Communication:
* Ensure smooth communication flows across teams
* Facilitate weekly regional leadership meetings and regular employee briefings, including general management of the meeting, agenda, and content preparation, notes dissemination
* Collaborate with cross-functional teams, including product managers, and business partners to gather relevant information and ensure effective communication
* In conjunction with product managers, support the preparation of presentations to stakeholders on strategic initiatives progress and business cases development
* Represent the Australia IT organisation in various global forums (BusOps, Employee Engagement forum) to ensure alignment and collaboration on operational activities, with some out-of-hours work required to collaborate with teams in global locations
Required Experience:
* 5+ years of experience in IT performing change management, program/project management, or business operations roles
* 5+ years demonstrating acumen in operations, risk management, and financial management
* 5+ years collecting, interpreting data, and managing high-level projects for executives or senior leadership
* 5+ years successfully managing multiple high-volume, complex, concurrent projects
* Excellent analytical, problem-solving, and communication skills with the ability to present complex information clearly to diverse audiences and all levels of management
* Attention to detail with a focus on outcomes
* Comfortable with data, tools, and systems
* Proficiency in data analytics tools (e.g., Tableau, Power BI) to analyse data and generate insights
Preferred Qualifications:
* Bachelor's degree in IT, computer science, business administration, or a related field or equivalent experience; a Master's degree is a plus
* Project Management Profession (PMP Certification)
