The Role
The role is an Administration Assistant to support our Rasmussen Community Centre. The responsibilities of the Administration Assistant include data entry, scanning and assisting with maintaining electronic record systems. This role is part time for 15hrs per week with the availability to work Thursdays and Fridays 8:30am-4:30pm.
Key Responsibilities for the position:
* Coordinate reception, including greeting visitors and ensuring front office is clean and safe.
* Answer the telephone and emails, direct calls and pass messages on.
* Take Community Centre booking enquiries and process bookings and ensure security deposits and centre hire fees are paid and recorded correctly according to established procedures.
* Office administration including email, mail, computer work, printing, scanning, filing, and faxing.
* Communicate with Alarm Control Centre regarding out of hours use of centre
* Promote and encourage centre use with community members.
* Provide information to community regarding Community Gro services, other services, general information.
* Provide Office services to community including selling of meals and/or drinks.
* Provide a warm entry into the Centre and offer tea/coffee in line with requirements
* Collect and maintain data relevant to centre users and program use.
* Provide basic induction and training in reception, opening/closing procedures, data collection and data entry and recording incoming and outgoing correspondence to volunteers.
* Assist with NILS enquiries and applications.
* Ensure Centre is open and ready for community in the morning and closed/secured at the end of the day.
* Familiarisation and compliance with all organisational policies and procedures.
* Perform regular walks through the centre to monitor centre activity and report to Manager.
Desirable skills and experience
* Relevant Certificate II/III in Business Administration or similar OR previous relevant administrative/reception experience OR appropriate on the job training and relevant experience.
* Basic administration skills, including working knowledge of MS Office; particularly Word, Excel and Outlook. Proven ability to resolve minor procedural issues within established constraints.
* Developing knowledge of statutory requirements relevant to the workplace including work health and safety, risk management principles and privacy and confidentiality.
* Friendly and warm customer service skills with the ability to support and assist a variety of individuals, showing empathy and care.
* Sound oral and written communication skills, with the ability to communicate effectively with clients, team members and members of the public.

The successful candidate must have:
* A Valid Working with Children Blue Card or ability to obtain a Working with Children Blue Card
* A 'C' class driver's license.
* Australian work authorisation is required for this position.
