Role

This position is for an Administration and Human Resources Officer. The role is full‐time, 8:00 am–4:06 pm, with part‐time discussion possible if shortlisted.

Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will typically effect change beyond the work area and often requires coordination with other staff to achieve specific objectives in school administration, operations or educational programs.

Responsibilities

Processing and monitoring of personnel transactions, including leave entry and approval on Edupay.

Management of Time in Lieu, including calculation, entry and submission.

Maintain strict confidentiality of personnel records and staff personal information.

Liaise with the Daily Organiser regarding staffing that affect timetable issues.

Be responsible for the accurate management of staff files and record keeping.

Support relevant Leadership staff with personnel functions of the College, including workforce planning, staff selection procedures, maintenance of personnel records, payroll functions, Workcover, Local Consultative Committee and Whole School Organisation meeting support.

Provide up‐to‐date information to staff regarding conditions of employment for all staff.

Provide advice in respect of relevant awards and conditions, superannuation requirements, leave entitlements and responsibilities of school employees.

Undertake a range of research tasks and investigations as required relating to personnel.

Advise the Business Manager on issues relating to personnel.

Set up processes that will support effective communication to all staff in relation to personnel issues.

Awareness and implementation of Department of Education and Training Human Resources policies and procedures.

Create written documentation including contracts and letters for the Principal or Business Manager.

Administer new staff inductions.

Take responsibility for processing and monitoring recruitment processes on Recruitment Online, including processing application paperwork, completing suitability checks, advising panels and visa nomination.

Coordinate the recruitment process ensuring merit and equity maintained.

Maintain a high level of system knowledge, including Edupay, Recruitment Online, Cases21, Compass, Edval, eduGate, eduPass, eduSafe and eduStar Teachers and Principals Notebook system.

* Provide general secretarial and administrative duties as required, including word processing, spreadsheets, data entry, photocopying, binding and filing.
* Create and produce various documents, notices and electronic information.
* Provide administrative support, including meeting agendas and minutes, correspondence in and out, and the efficient upkeep and maintenance of relevant records.
* Ability to work autonomously and within a team environment.
* First Aid Officer on duty when first aid is required.

Selection Criteria

SC1 Demonstrated ability in human resources administration, including recruitment and payroll processes, with the capacity to maintain confidentiality, exercise discretion, and apply sound judgement.

SC2 Demonstrated proficiency in the use of office systems, software or technical equipment as relevant to the position.

SC3 Demonstrated capacity to supervise or coordinate support staff, and to develop, implement and improve procedures and guidelines within the work area.

SC4 Demonstrated organisational and time‐management capability, with the ability to prioritise tasks, meet deadlines, and identify and resolve discrepancies.

SC5 Demonstrated highly developed interpersonal and communication skills, with the ability to work collaboratively with staff, students, parents/carers and external stakeholders, including managing sensitive matters professionally and contributing to a culture of continuous improvement.
