Your Role
As a Client Services Officer, you will play a key role in supporting the delivery of high-quality financial advice by managing the day-to-day client service functions within our Launceston-based advisory team. Acting as the first point of contact for clients, you will be responsible for coordinating adviser support, managing client communication, preparing for appointments, and ensuring seamless administrative processes using tools like XPLAN.
This role requires strong organisational skills, attention to detail, and a client-focused mindset. You'll work closely with financial advisers and liaise with team members across multiple offices, contributing to a collaborative and professional environment. It's an ideal position for someone with financial services experience who is ready to take ownership of client experience and grow within a supportive team.
Key Responsibilities
Client Relationship Management:
Act as the primary point of contact for clients, responding to enquiries promptly, professionally, and with a client-first mindset.
Adviser Support:
Work one-on-one with financial advisers, managing their calendars, preparing for client meetings, and ensuring all post-meeting follow-ups are completed efficiently.
Appointment Preparation:
Coordinate and prepare documentation, reports, and presentations required for client meetings, ensuring accuracy and timeliness.
Workflow & Task Management:
Prioritise and manage multiple client service tasks in a fast-paced environment, ensuring deadlines are met and service standards are maintained.
CRM & System Management:
Accurately maintain client data and records using XPLAN and other internal systems. Ensure data integrity and compliance with industry standards.
Compliance & Documentation:
Assist in the preparation, review, and lodgement of compliance documents including Statements of Advice (SOAs), Fee Disclosure Statements (FDS), and ongoing service agreements.
Team Collaboration:
Liaise with advisers, paraplanners, and administrative teams across Hobart, Launceston, Devonport, and Adelaide to ensure smooth client service delivery.
Process Improvement:
Contribute to the continuous improvement of client service processes and documentation standards to enhance operational efficiency and client satisfaction.
