Explore more on Cubic.com. Job Details:Job Summary: Responsible for assisting Program Managers in execution of multiple program tasks. Supports the program management staff in the preparation of deliverables, internal reports, briefings, and other requirements associated with the project being supported. This position typically works under general supervision and direction.Essential Job Duties and Responsibilities:Supports the administration of programs in accordance with the contract, policies, procedures and department instructions.As required, establishes and maintains folders and repositories ensuring document control and trackingSupports the program managers in ensuring contracts are met in the most efficient and profitable mannerSupports program execution to meet technical performance within cost and scheduleSupports and monitors all elements of the assigned program activities from inception to completion which may include proposal development, product design, procurement, subcontracting, testing, delivery, installation and acceptance of the products and/or servicesSupports the program managers in performing the following tasks: monthly status reports; liaises with other Company support groups; Program Management Review (PMR) slides; provides meeting logistic support, including the development of agendas, phone contacts, meeting minutes and action item tracking;Supports early or on-time deliveries of all required project/program documentation (CDRLs, etc.).Monitors programs’ Action Items (AI) lists and supports timely completion of open AIsPerforms financial management tasks, which may include invoice generation, preparation of information for the cost estimation team, SAP administrationReports on risk management to help identify risk reduction on assigned programsEscalates any issues toprogram management with sufficient lead for timely resolutionCoordinates and/or assists with proposal development, statements of work, specification development and major subcontract managementGeneral Duties and Responsibilities:Comply with Cubic’s Quality Management SystemComply with Cubic Occupational Health, Safety and Environment policies and proceduresComply with security in accordance with established policies and procedures of the organisationsComply with Cubic Human Resources ProceduresOther duties as requestedMinimum Job Requirements:QualificationsDesirable:Certificate / Diploma in Project Management or other related discipline, or equivalent experienceSkills/Experience/KnowledgeEssential:Strong MS Word document formatting skills4 – 6 years’ experience performing project administrative / coordination dutiesExperience working with SAPSkilled user of SharePoint, MS Project and MS Office, MS Suite (Word, Excel, PowerPoint, etc.)Desirable:Strong knowledge of project management processes and toolsPersonal QualitiesExcellent verbal and written communication skills, as well as an ability to liaise well with both internal and external stakeholdersConfident facilitatorEnthusiastic team playerProactive self-starterReliable and delivery focusedWilling to learn with a continuous improvement mindsetFlexibility to occasionally work outside of normal hours to support the departmental teams with critical program activitiesCondition of Employment:Successful outcome of a National Police Check#LI-KC1Worker Type: Employee
