Our ideal candidate adds to this culture and our workplace in their own way.What you will doYou will be responsible for providing executive and administrative support to one or more Senior Executive Service officers and their branch and/or division more broadly. You will do this through excellent organisation and office management skills. The role includes, but is not limited to, the following duties:Managing the diary and organising meetings of the Executive staff you support, including collating and printing meeting packs.Assisting with workload management, including monitoring and triaging the inbox of the Executive you support, tracking correspondence and prioritising clearance items.Assisting in the preparation of committee meetings and Senate Estimates hearings.Keeping contact lists up to date.Tracking and processing administrative correspondence and documentation.Advising, arranging, coordinating and reconciling all travel for the Executive you support.Liaising with stakeholders and visitors of all levels, building good working relationships and providing a point of contact for assistance and general enquiries.Working with other Executive Support staff in your division on business improvement initiatives to streamline workflow and provide administrative support to your branch and/or division.As an Executive Assistant, you will be responsible for:Working cohesively with the division’s Executive Officer to manage processes and systems of the division including preparation of committee meetings and oversight of divisional coordination.Providing general administrative support to your executive and the division including distributing information, preparing meeting agendas, record keeping and tracking correspondence.Providing support to other Executives, Executive Assistants and the Executive Officer in the division when required.Prioritising and identifying critical work requirements.Networking across the department and APS, including having a high level of communication with Senior Executive Assistants and the Executive Support Team.Mentoring and developing APS4 Executive Assistants in your division.Supporting and working collaboratively with Executive Assistants in the department.Establishing strong working relationships with key stakeholders.Pro-actively improving internal processes.EligibilityTo be eligible for employment in the APS and the department, candidates must be Australian Citizens. Positions require a Baseline security clearance and successful candidates will be required to obtain and maintain a clearance at this level.NotesA merit pool will be established and used to fill future vacancies within 18 months from the date the vacancy was first advertised in the Gazette.
