Selection Criteria


SC1 Demonstrated ability to work independently, flexibly and constructively in a team ensuring the continuous and efficient operation of the work environment as well as working creatively and proactively to enhance work systems, practices and relationships

SC2 Demonstrated proficiency in the use of office systems, software technical equipment as relevant to the position, including Compass, eduPay, Cases21 and Microsoft Office

SC3 Demonstrated knowledge and experience in respect to Human Resources Management and Executive Assistant responsibilities within a school setting

Role

Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.

Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.

The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.

This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.


Responsibilities


The role of the HR and Executive Assistant provides high-level administrative support to the Principal and College by providing a wide range of complex and confidential administrative duties. Provides excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Manages HR functions for the College in support of the Business Manager.

HR Manager

* Work cooperatively with the Business Manager to provide a range of services to support the goals, values and behaviours of the school and DET.
* Support the Business Manager by having excellent knowledge of all Policies and Procedures relating to the human resource management of schools across all areas.
* Support the Business Manager by having highly proficient general office skills including but not limited to customer service/phone/filing/Microsoft Office (excel/work/power point/publisher etc.).
* Maintain the highest standards of integrity and confidentiality and judgement

Workforce Management / Planning

* Staff database management (spreadsheets, C21 and eduPay)
* Manage staff leave records
* Manage probation timelines

Recruitment

* Post job advertisements on Recruitment Online as directed by the Principal
* Provide panel members with applications
* Schedule and make all arrangements for interviews and communicate with the applicants
* Process hires and communicate with the successful applicant
* Develop employment contracts
* Provide HR information to staff on relevant policies, DET HR guidelines and the current VGSA
* Responding to staff leave queries (LSL entitlements, leave balance etc.)
* Prepare all HR correspondence for the Principal/Business Manager
* Maintain staff personnel files

Induction

* Assist the Principal and Business Manager to prepare staff induction materials
* Onboard new staff ¿ managing the Staff handbook, arranging photos for Compass, staff ID card, ordering name badge, staff uniform, staff & phone extension list, arrange pigeonhole and compliance documentation database
* Maintain the school register for keys and security fobs

eduPay

* Approving staff leave on eduPay, cross check to Daily Org and then follow up with staff who have not entered leave on eduPay
* School local payroll processing - liaising with the Daily Org
* Archive necessary documents in a timely manner in accordance with DET policies.
* Check teacher VIT register on portal

Executive Assistant

* Work cooperatively with the Principal/Leadership to provide a range of services to support the goals, values and behaviours of the school and DET.
* Validate new opportunities and requirements through consultation, identify, communicate and, where appropriate, facilitate opportunities for continuous improvement and innovation within my role.
* Ensure up to date knowledge of IT provision, security, etc. moving towards improvement and innovation with all administrative processes.
* Assist with staff recruitment processes to meet workforce needs under the direction of the principal.
* Assist with providing high level expertise in all areas of HR recruiting.
* Support Principal by having highly proficient general office skills including but not limited to customer service/phone/filing/Microsoft Office (excel/work/power point/publisher etc.).

Calendar/diary and workflow management

* Manage diary commitments for the Principal ensuring each meeting has clear objectives and expectations. Prepare any materials needed in advance for the Principal.
* Organise meetings with various stakeholders as directed for the Principal and Assistant Principals
* Manage workflow requests for the Principal, including creating a system for signature and approval requests.

* Until 2026 teachers will have a higher than normal curriculum development role. This curriculum is developed in detail, is shared and is collaborative in nature.
* In 2023 we have Year 7 and Year 8. In 2024 we add Year 9, and then each year level after that.
