Journey Connect is a growing NDIS‐registered disability support provider delivering in‐home daily supports and allied health services. We operate in a complex, highly regulated environment and place strong emphasis on financial accuracy, compliance, systems integrity, and defensible processes. Our areas of operations include Townsville to Mt Isa, Ingham, Sunshine Coast, Gold Coast and Brisbane.
This role is suited to an experienced administrator who understands the realities of NDIS operations and can confidently manage accounts, payroll, systems, and compliance, while supporting service delivery teams.
About the Role
This is a senior administration role, not a junior position.
The Senior Office Administrator is responsible for ensuring the financial, administrative, and compliance backbone of Journey Connect operates smoothly and accurately. You will hold significant responsibility across accounts, payroll support, NDIS payment systems, service agreements, CRM systems, and internal processes. We call it the 'god view' of operations with all roads leading to and from administration.
You will work closely with the Directors and operational leaders and are expected to show initiative in improving systems, tightening processes, and maintaining audit‐ready records.
Key Responsibilities
Accounts, Payroll & Financial Administration
* Manage day‐to‐day accounts administration using Xero
* Support payroll processes, including hours verification, system accuracy, and award awareness
* Prepare and reconcile invoices, claims, and payment records
* Ensure financial data is accurate, timely, and defensible
* Liaise with internal staff and external providers regarding payroll or payment discrepancies
* Office Management and accountability for day-to-day operations
NDIS Systems & Funding Knowledge
* Strong working knowledge of NDIS payment processes, including:
* Interaction with Plan Managers
* Understanding of Service Bookings, claims, and funding flows
* Confident administration of NDIS Service Agreements, including setup, amendments, and record management
* Understanding of PRODA, provider systems, and access requirements (or ability to manage with minimal training)
Client, Staff & CRM Administration
* Manage client intake, system onboarding, and ongoing administrative records
* Maintain accurate and compliant records in Client Relationship Management (CRM) system
* Ensure client, service, and staff data is kept current and consistent across systems
* Assist GM/Director with payroll through timely quality checks and compliance
Compliance & Systems Administration
* Administer compliance documentation and records in line with:
* NDIS Practice Standards
* Privacy and confidentiality obligations
* Maintain audit‐ready documentation and support internal reviews
* Contribute to development, refinement, and documentation of administrative processes
* Identify gaps or inefficiencies and proactively improve systems and workflows
Scheduling, Rosters & Operational Support
* Support schedulers and rostering processes in collaboration with operations
* Assist with service coordination tasks strictly from an administrative perspective
* Act as a key administrative contact point for internal teams and external stakeholders
About You – Essential Experience
This role will suit someone who:
* Has significant experience in office administration, accounts, or operations
* Has strong accounts and payroll administration experience
* Has experience working within the NDIS, disability, health, or community services sector
* Demonstrates a strong understanding of:
* NDIS Service Agreements
* NDIS payment systems and Plan Managers
* PRODA and provider compliance requirements
* NDIA Funding models
* SCHADs Award and payroll processes
* Has high‐level experience using Xero
* Is confident working with CRM systems and complex administrative platforms
* Can work autonomously, prioritise tasks, and exercise sound judgement
* Is highly organised, detail‐oriented, and compliance‐focused
Highly Regarded
* Experience supporting audits or NDIA reviews
* Experience improving or building administrative systems and processes
* Strong understanding of confidentiality, data governance, and risk management
