VDK Group are a small family owned air conditioning and electrical business based in Toowoomba. We specialise in installing and maintaining quality air conditioning systems and completing all aspects of electrical work to a high standard, particularly in designer homes in Toowoomba, Brisbane and surrounding areas.

Job description:

As a key member of our team, you will provide direct support to the Directors and play an important role in the day-to-day running of the business. This position involves a broad range of responsibilities including managing incoming and outgoing calls, payroll and basic bookkeeping, and general administrative duties.

This is a full-time position, working 38 hours per week across 5 days.

Our long-standing office administrator is relocating, and we are now seeking a reliable and organised person to join our friendly, down-to-earth team based in Toowoomba City.

Tasks and responsibilities:

The main duties for this role include, but are not limited to the following:

* Handling email and phone call correspondence
* Bank reconciliations, accounts payable and accounts receivable, including job costing prior to invoicing and management of overdue accounts
* Job and quote preparation, ordering of equipment as required and management of warehouse stock levels
* Payroll processing including entering employee timesheets, processing the pay run and superannuation payments
* Preparation and lodgement of BAS and PAYG
* Maintenance of various spreadsheets and registers, including ensuring compliance with applicable licencing and insurance requirements is maintained
* Submission of reports to comply with the requirements of various government bodies
* Costing of large ongoing jobs and budget reporting
* Assist the Directors with scheduling of jobs as required
* Other general office duties including data entry, document scanning and filing

Skills and experience required:

* Good written and verbal communication skills
* Previous experience in an office administration role
* Minimum 1-2 years of office administration experience is required
* Intermediate skills in Microsoft applications, particularly Outlook and Excel
* Good working knowledge of Xero accounting software
* Basic navigation skills in Xero accounting software are required
* Sound time management skills with the ability to multitask
* Attention to detail
* Air conditioning and/or electrical industry experience (preferred, not essential)
* ServiceM8 job management software experience (preferred, not essential)

Remuneration offered will be commensurate with experience.
