About the Role
Join a global business that is setting up a brand-new office in Sydney! Reporting to the Head of Growth, you'll be responsible for overseeing all aspects of office administration, facilities, finance coordination, people support, and marketing initiatives. This is a hands‑on role ideal for someone who thrives in a quick‑paced environment and enjoys variety in their day.
Key Responsibilities
- Manage office supplies, equipment, and pantry inventory
- Liaise with vendors and building management
- Oversee conference room bookings and maintain office tidiness
- Coordinate maintenance, emergency procedures, and office moves
- Organise social events and support social impact initiatives
- Provide executive assistance to the local leader
- Manage travel logistics, expenses, and onboarding for new staff
- Act as the central point of contact for internal and external visitors
- Support diary management and visa arrangements
- Approve and process invoices and staff expenses
- Coordinate billing and payments with internal teams and local banks
- Support recruitment processes and onboarding/offboarding
- Liaise with People Management on insurance, payroll, and compliance
- Line manage assistants as the team grows
- Assist with pitch decks, client presentations, and marketing events
- Maintain engagement documentation and support reporting
About You
- Bachelor's degree preferred
- 8+ years of administrative experience, including 3+ years in office management
- Experience in professional services highly regarded
- Strong communication, organisational, and interpersonal skills
- Proficient in Microsoft Office Suite
