Office Administrator – Herbs of Life

About Us

Herbs of Life is a certified organic, artisanal food and beverage company specialising in the production and wholesale distribution of fermented foods, including sauerkraut and kombucha. Our products can be found in Harris Farm, Mr Vitamins, Unique Wholefoods, Taste Organics, Dr Earth, and a wide range of independent health food and grocery stores.

The Role

We are looking for a proactive and highly organised Office Administrator to help keep our operations running smoothly. In this role, you will manage office supplies, coordinate freight and logistics, maintain accurate records, and provide essential administrative support across the business. You'll also be the first point of contact for customers, suppliers, and visitors—ensuring a warm, professional experience at all times.
This is a part‐time position working 6 hours per day, Monday to Friday.

What You Will Do

Office & Logistics Coordination

* Manage and coordinate supplies for both production and office needs
* Process customer orders and oversee inbound/outbound freight
* Organise deliveries for retail, wholesale, and distributor customers

Financial Support

* Assist with basic bookkeeping, including creating, processing, and reconciling purchase orders, creditor invoices, and debtor invoices

Data & Records Management

* Maintain organised and accurate filing systems
* Update internal databases and ensure confidentiality of sensitive information

Communication Management

* Act as the first point of contact for customers, suppliers, and visitors
* Manage incoming calls and email enquiries promptly and professionally

General Administrative Support

* Coordinate appointments and manage the Director's calendar
* Organise travel arrangements
* Prepare meeting agendas and minutes
* Support onboarding for new employees

Website & Social Media

* Update and maintain the company website, including product details and news
* Manage weekly social media posts, primarily on Instagram

What You Bring

* Experience: Minimum 5 years in office administration or a similar role
* Technical Skills:
o Strong proficiency in LibreOffice and Microsoft Office (Word, Excel, Outlook, PowerPoint)
o Working knowledge of Xero accounting software and Shopify
* Communication: Excellent verbal and written communication skills
* Organisation: Exceptional attention to detail and the ability to prioritise effectively in a fast‐paced environment
* Initiative: Ability to work independently and proactively manage your responsibilities
