About Us:
Join our award winning team and contribute to the success of the fastly growing Aesthetic Tile & Stone & The Tile Supply. This leading enterprise is widely recognized for its outstanding reputation on the Gold Coast. As we continue to expand, we are looking for a dynamic Administration Officer to lead our administrative functions and play a pivotal role in our growth.

The Ideal Candidate:
We are seeking a self motivated individual with a passion for creating and improving systems and processes. The ideal candidate will have:

* Demonstrated experience in construction management or administration (minimum of 5 years in administration).

* A strong organiser who has an epic drive and is consistently reliable.

* Proven usage of a construction job management system (preferably Simpro or a similar system)

* Strong organizational and personal skills, attention to detail, and the ability to multitask in a fast-paced multi hat environment.

* Confident communicator and ability to effectively liaise with team members and important clients.

* Ability to buy into the company vision and long term growth plan and it on as your own

* Self motivation and the ability to work both independently and collaboratively.

* Excellent problem solving skills with a common sense approach.

* Bookkeeping experience or background in Xero (minimum 2 years experience)

* Previous experience in a service or trade-based company is preferred.

* A confident and friendly personality with excellent people skills.

The Role:
As the Administration Assistant, you will:

* Report to the Managing Director.

* Complete general administration for the business portfolio and potentially manage future administration coordinators

* Enter, maintain, and manage tasks, leads, jobs in our job management system.

* Maintain the flow of works to the highest standards.

* Assist in compiling and issuing quotes derived from operational tasks.

* Manage the procurement process, including raising purchase orders for materials including freight

* Collating timesheets ready for payroll

* Provide assistance to the accounts/financial controller - bookkeeping, payroll, and reconciliation

* Create contracts for new projects

* Support HR functions

* Play a key role in the growth and development of our company
