About the role
An opportunity is now available for a Senior Administration Coordinator to join our team in Boart Longyear's Adelaide office.
The primary purpose of the Administration Coordinator is to organise and control the functions and resources of an office including administrative systems, travel and credit card systems, facility maintenance, and office and administration personnel.
Duties and responsibilities:
Travel management
* Act as Travel Director and primary contact for Egencia Australia.
* Book domestic and international travel and accommodation for staff conferences and other staff, including group bookings.
* Manage travel-related contracts with airlines, hotels, and car hire companies.
* Arrange travel visas as needed.
Corporate credit card administration
* Serve as the administrator for Amex and Cab Charge accounts.
* Generate financial reports on Amex and Cab Charge usage using online portals and statements.
* Conduct Amex and cash reconciliations for senior leadership members
* Assist with cash reimbursements for staff post travel as required
Facility management
* Monitor, stock, and order office supplies and housekeeping consumables.
* Manage cleaning services and conduct regular inspections.
* Arrange catering for numerous occasions (morning teas, conferences, international visitors etc)
* Manage ordering of uniforms, merchandise, business cards, and corporate gifts.
* Monitor and manage meeting room bookings.
Executive support
* Coordinate all-staff communications, including emails and corporate announcements.
* Prepare documents and presentations for the conferences.
* Arrange catering and bookings for office functions and events.
The successful applicant must possess:
* Experience in a fast-paced, administrative position
* Strong attention to detail and high accuracy
* Proven communication skills with the ability to converse with those at all levels
* Proficiency and ability to pick up systems efficiently and effectively
