" About the Role: This pivotal role will see you play a key part in the smooth daily operations by managing both administrative and purchasing tasks.
You will be responsible for processing purchase orders, communicating ETAs, and providing general office administration support.
This includes tasks such as data entry, document management, and handling internal and external inquiries. You will collaborate with various departments to streamline procurement workflows, ensuring efficient purchasing processes while adhering to company policies.
Strong organizational skills and a keen eye for detail are essential to ensure tasks are prioritized effectively and purchase orders are processed promptly and accurately. Reporting to: The Inventory & Distribution Coordinator and the Operations Manager Coordinating with the teams– Planning, Production, Design, Accounts, Service and Maintenance Working Hours: 38 hours per week as standard Work Schedule: Monday to Thursday from 8.00am to 4.30pm, Friday from 7.30am to 2.00pm
Key Responsibilities: Purchasing: Manage the full procurement process from quoting to order completion, including approvals, issuing POs, and tracking delivery ETAs.Generate weekly reports on outstanding orders, deliveries, and stock levels.Maintain accurate vendor and customer data in the Work Guru Inventory Control System.Review and approve invoices, liaising with Accounts for timely payments.Report data discrepancies to the Inventory & Distribution Coordinator.Allocate purchases to relevant business functions (new builds, service work, consumables).Cultivate strong supplier relationships to negotiate favorable terms.Proactively identify and resolve supply chain issues.Manage office consumables (refectory and general office supplies).Administration: Assist the Operations Manager with Policies & Procedure documents.Coordinate catering for meetings and training.Compile equipment documentation for new machinery.Maintain accurate records and filing systems.Provide general office administration support.Prepare reports, presentations, and other business documents.Assist with staff travel arrangements.Maintain an organized office environment. Skills and Experience: Proficiency in Microsoft Office Suite.Excellent communication and interpersonal skills.Strong organizational and time management abilities.High attention to detail and accuracy.Ability to thrive in a fast-paced environment and multitask effectively.Proactive and problem-solving approach.Experience with inventory control systems (training provided for Work Guru).
